About the Role

Reporting to the Office Manager, you will provide a confidential, timely, accurate and efficient administrative support service to aid the smooth day to day running of the business, ensuring that workload and commitments are planned and managed.

  • Assist the office manager to complete various administrative tasks i.e filing, scanning, answer the phone, post, etc) along with despatch desk duties
  • Sign in / induct visitors
  • Ordering & receiving of production materials, PPE / dealing with deliveries and arrangement of haulage collections
  • Purchase order creation, goods receipting, dealing with invoice queries, weekly outstanding jobs list and general commands using SAP
  • Collate Employee hours worked on a weekly basis, ensure this information is inputted onto chris 21,
  • Ensure the HR policies and procedures are followed and adhered to at all times
  • Attend and participate in factory meetings as required
  • Identify and report any health and safety concerns and report all accidents, injuries or near misses accordingly
  • Produce a range of Excel, Word and PowerPoint documents
  • Data inputting using various spreadsheets
  • Booking in new materials
  • Assist Quality Assurance with month-end administration in relation to raw materials
  • Goods in and goods out window
  • Ensure training files and related documentation are audit ready
  • Monitor site diary, book rooms for visitors and organise buffet/drinks
  • Organisation of meetings and meeting rooms with some diary management
  • Provide cover in the Office Manager’s absence
Hours of Work

8.00am to 5.00pm Monday to Friday shift pattern

About You
  • A minimum of 2 years office / administrative experience
  • Proactive and organised approach with the ability to prioritise tasks
  • Exceptional attention to detail
  • Confident verbal and written communication
  • Able to prioritise workload effectively and efficiently
  • Good IT Skills, especially outlook, word and excel
  • Ability to work in a fast-paced environment with a high degree of accuracy
  • The ability to manage, evaluate and accept change

  • Knowledge and experience of SAP systems
  • Comfortable making decisions
