Job summary

Ctrl Alt is seeking an Office Administrator to own the smooth, day-to-day running of our London office. This hands-on role reports to the Operations Manager and ensures a welcoming, high-functioning workspace for our growing team.

You will manage facilities, support leadership, and help new joiners settle in quickly. The role spans vendor relations, health & safety, travel coordination, onboarding, and culture-building in a fast-paced fintech environment.

Qualifications

  • Experience as Office Admin, EA, or similar in fast-growing environment.
  • Strong organisational ability with multiple priorities.
  • Attention to detail and pride in a well-run office.
  • Excellent written and verbal communication; point of contact for the team.

Responsibilities

  • Own the day-to-day running of the London office, keeping it organised and a great place to work.
  • Manage relationships with building management, landlords, and suppliers (cleaning, catering, IT, maintenance).
  • First point of contact for office-related queries; resolve issues quickly.
  • Oversee health & safety, security, and office access; ensure policies.
  • Coordinate diaries, travel, accommodation, and expenses for senior leadership.
  • Organise meetings, offsites, team socials, and events; manage logistics.
  • Lead onboarding for new joiners (desk setup, equipment, access).
  • Manage office supplies, equipment, budgets; track spend; cost solutions.
  • Partner with People, IT, Operations to ensure smooth processes across lifecycle.
  • Help build and nurture office culture; drive inclusivity and collaboration.
  • Continuously improve office operations as we scale.

The Opportunity

As Ctrl Alt continues to scale, we are seeking an Office Administrator to own the smooth, day-to-day running of our London office. This is a hands-on role, reporting to the Operations Manager, making sure our people have a well-run, welcoming, and high-functioning place to do their best work.


The role spans facilities and office management, support for our team and leadership, and helping new joiners settle in quickly. You will be the go-to person who keeps things running, anticipates what the office and team need, and creates an environment that reflects our fast-paced, people-first culture.


In this role you will:


  • Own the day-to-day running of the London office, keeping it organised, well-stocked, and a great place to work


  • Manage relationships with building management, landlords, and external suppliers, including cleaning, catering, IT, and maintenance


  • Act as the first point of contact for office-related queries, resolving issues quickly and keeping disruption to a minimum


  • Oversee health & safety, security, and office access, ensuring policies and procedures are followed


  • Coordinate diaries, travel, accommodation, and expenses for senior leadership and visiting team members


  • Organise meetings, offsites, team socials, and company events, owning logistics from planning through to delivery


  • Lead the onboarding experience for new joiners, including desk setup, equipment, access, and a warm welcome on day one


  • Manage office supplies, equipment, and budgets, tracking spend and finding cost-effective solutions


  • Partner with People, IT, and Operations to ensure smooth processes across the employee lifecycle


  • Help build and nurture office culture, championing an inclusive, energising, and collaborative environment


  • Continuously improve how the office runs, introducing simple systems and processes as we scale



This role will be a great fit if you:


  • Have experience as an Office Admin, EA, or in a similar operations or administrative role, ideally in a fast-growing environment
