Job description

The core of the role is to ensure we provide a warm, safe and secure environment for our customers and colleagues to shop and work in, delivered through a legally compliant framework that is best value for the business. This is a unique opportunity for an individual to develop and widen their influence of FM contracts within one of the UK's largest Food and Clothing retailers. Key to the success of the role will be collaborating and building strong day to day relationships with multiple external and internal stakeholders, primarily through with our lead maintenance contractor City FM. Internally you will work with Compliance, Property, Finance, Audit, Construction and Retail Change Managers as well as the Asda Procurement team. You will be required to facilitate and lead relevant internal Governance meetings, ensuring best practice is followed and compliance adopted.

Responsibilities
  • Develop and evolve the FM model specification to deliver a safe, legal, and compliant environment across all Asda retail stores, home offices and depots whilst always ensuring best value. You will directly input and be involved the management and shaping of FM model specification across different and emerging formats within the Asda estate. The management of Cleaning contract within our Distribution centres through City FM is also in scope.
  • Supplier Management – 3rd Party Supplier eg City FM and STAR Refrigeration – have the ability to work closely and manage key 3rd Party suppliers who are integral to the delivery of the FM operational model both on a short, medium and long term basis to ensure the day to day requirements of the business are met.
  • Compliance and Assurance Framework – to ensure that the overall estate is maintained in a safe, legal and compliant manner through the delivery of the Asda Assurance Framework process and management of other high-risk areas. This will include ensuring our main FM providers can provide evidence of PPM and remedial work completion and the verification of the asset base across our estate.
  • Customer Management – Develop strong relationships with Retail, ALS Senior Directors and Convenience Senior Managers, giving them a clear route for input and keeping them informed of relevant FM processes.
  • Stakeholder Management –Work collaboratively and engage multiple Asda stakeholders from across the business. This will ensure that effective relationships are in place across Compliance, Audit, Procurement and Retail/ALS central Ops teams to provide relevant FM guidance, ensuring processes that are easily understood and clear for stores and depots to implement. Participation on key commercial tenders with the Asda Procurement team will also form part of the role.
  • Data and MI – Demonstrate an ability to interpret relevant MI and FM model data and be able to recommend operational process change, driving efficiency within the model as appropriate. Key areas include reviewing FM performance data and asset Uptime, parts availability, and Compliance metrics. You will be able to directly shape this with City FM to reflect the evolving needs of the business.
  • Commercial Management – you will be able to understand key financial elements that impact both capital and revenue spend, probing anomalies and helping shape strategy to deliver the FM budget to plan. You will also work collaboratively with the Property Cost transformation to help shape initiatives to help Asda to save money and work smarter. Similar, you will have input to the Asda asset life cycle cost strategy to ensure we strike the best balance between capital investment and revenue lines.
  • Innovation – have a challenging and forward-looking outlook on improving ways of working, pace, driving efficiencies and utilising latest technology including rolling out a Store based FM web portal to allow Store Managers to access FM job information more readily.
  • Store Equipment – being directly accountable for the manging of Store equipment contracts and budgets, including Trollies, manual handling equipment and other associated areas, and managing a colleague who will assist in the delivery of this area.
Qualifications
  • You will have a strong track record of day to day operational management coupled to strong project management skills, ideally having worked in a retail or similar fast-paced environment on FM with a good understanding of managing moving deadlines, multiple workstreams, and critical paths.
  • You will have delivered or supported change in a cross functional environment, by inspiring and influencing others beyond your direct reporting line and have the ability to build strong relations and networks with internal and external stakeholders.
  • Ability to persevere with significant change and challenges, finding creative ways to overcome barriers, and bounce back from setbacks.
  • Previous experience of managing data and creating reporting templates. Utilising data to identify risks and opportunities and to develop new ideas and concepts.
  • Innovative and are always looking for a way to continuously improve procedures to make them simpler, easier, and quicker for the team and end users.
  • You will be a forward thinker with excellent communication skills, both verbal and written.
  • Ideally you will be proficient in the use of Microsoft Excel and have previous knowledge of using Power BI.
Working Conditions

To ensure we balance moments where we know we need to collaborate together and the need for flexibility, Asda has a hybrid way of working with a minimum 3 days a week in one of our Home Offices. Over and above this, each area of Asda may have additional requirements which may require spending more days in the office, visiting suppliers, stores or depots.
