Job summary

Naimuri is seeking a Bid Coordinator to support end-to-end bid processes across three sectors, reporting to the Head of Bidding. The role involves coordinating bid inputs, maintaining library artefacts and collaborating with stakeholders across technical, delivery, marketing and commercial teams.

The successful candidate will work in a hybrid setup with offices in Salford, London and Cheltenham, and will be expected to manage multiple bids with tight deadlines while maintaining high-quality

Qualifications

  • Experience in capture, bidding, or procurement is desirable but not essential.
  • APMP Foundation certification would be advantageous.
  • Strong written and verbal English communication and the ability to prioritise in a dynamic environment.

Responsibilities

  • Assist with monitoring framework portals to identify bid opportunities aligned to core capabilities.
  • Schedule qualification, storyboard sessions and review calls across concurrent bids.
  • Maintain bid folder hierarchies for knowledge management and version control.
  • Coordinate input from technical, marketing, delivery, commercial and legal teams for proposals.
  • Ensure documents adhere to branding standards and security guidelines.
  • Update case study and CV libraries with artefacts from across the business.

Job description

The Bid Coordinator will primarily assist with our wider Business Development (BD) activities by facilitating and ensuring adherence to each stage (e.g. pre-qualification, qualification, proposal development and approval/sign-off) of Naimuri’s formally documented end-to-end bid processes for each of our three sectors.

The Bid Coordinator will also contribute to the creation and maintenance of Naimuri’s case study and CV libraries, liaising with stakeholders from across the business to ensure both resource libraries are kept up to date and available for immediate deployment.

Working closely with our Head of Bidding, Sector Leads and Sector BD Leads, the Bid Coordinator’s core responsibilities will include:

  • Assisting with monitoring several framework portals, to effectively identify new bid opportunities that are aligned to Naimuri’s key capabilities and values.
  • Scheduling qualification, storyboarding sessions and review calls, as required - With several ongoing bids running concurrently alongside other preparatory business development and marketing activities, this is a key task.
  • Maintaining bid folder hierarchies, to enable effective internal knowledge management.
  • Collaborating proactively and effectively with several bid teams concurrently (often remotely, using SLACK), and co-ordinating proposal input sourced from a variety of stakeholders (i.e. technical, marketing, delivery, commercial and legal.)
  • Championing version control best practices, and ensuring proposal documents adhere to Naimuri’s branding guidelines, standard formatting quality, and security standards.
  • Coordinating additions and amendments to our case study (e.g. Project Log) and CV libraries, generating artefacts where needed, and liaising with Tech, Delivery and Capability Leads from across the business as necessary to ensure these resources are kept up to date.

However, as a small company, the successful candidate must be prepared to pitch in with other related tasks, and deliver high-quality outputs to tight deadlines when required.

This is a role that is embedded within the Business Development function of the business; in addition to providing a solid grounding in Bid Management, it also provides excellent opportunities to work closely with our marketing, technical and customer-facing SMEs.

Experience of working in capture or bidding or procurement is desirable but not essential. If not already acquired, a desire to work towards attaining APMP Foundation certification would be advantageous.

Strong IT literacy, organisational, communication and collaboration skills are all prerequisites for this role. Being able to evidence high standards of written English, and the ability to prioritise and take initiative within a dynamic environment whilst paying attention to detail, are also core skills required for this role.

A degree of fluency with Google Workspace tools (e.g. Docs, Sheets, Slides etc) and MS Office tools (e.g. Word, Excel etc) is advantageous, although not essential as full training will be provided.

Location:

Our Head Office is based in Salford Quays, Manchester, with satellite offices in London and Cheltenham. We offer hybrid working where you can work from home for part of your working week with time on site being based on the needs of your assigned delivery and agreed Ways of Working for your team. We would expect that the successful candidate would be working an average of 3 days a week in the office or customer site.

Pay and benefits:

Naimuri pays competitively within the industry based on your role's base location rates. The salary for this position is dependent upon your experience. We assess seniority relative to the team at Naimuri during the interviewing process.

A full time working week is 37.5 hours and you have flexibility over when you give that time. We also offer part-time working which can be discussed during the recruitment process.
