Overview
The post holder will be trained in all areas of MSK Physiotherapy Administrative tasks, providing front‑line support within the MSK Physiotherapy booking office. Flexibility is an essential component of the role, including working flexibly across the admin sites to meet service needs. The position is based at Brighouse Health Centre but may involve occasional work at other sites.
Working Pattern
Monday – Friday, 07:15 – 15:15. Flexibility may be required to accommodate service demands.
Responsibilities
- Complete the referral‑to‑treatment process for MSK physiotherapy outpatients, including registering referrals, contacting patients to opt‑in, and booking new and follow‑up appointments via SystmOne and Electronic Patient Record.
- Discharge patients who do not opt‑in or who do not attend first appointments.
- Handle telephone, written, or electronic enquiries from external and internal sources, responding promptly and courteously.
- Cancel, change, and re‑book appointments as required, including coordinating transport or interpreter services for new patients.
- Ensure accurate demographic recording (address, NHS number, ethnicity, GP details, mobile number, email). Maintain data integrity in SystmOne and other systems.
- Maintain confidentiality and comply with Calderdale and Huddersfield NHS Trust policies and regulations.
- Collaborate with internal staff, GP teams, and other organisations to resolve appointment/clinic issues and to manage wait‑list times, ensuring 18‑week referral‑to‑treatment pathways are met.
- Support the Coordinator/Supervisor with training and induction of new staff, shadowing and mentoring new starters.
- Participate in training sessions to ensure delivery of a quality, customer‑focused service.
- Assist with stock control of patient information leaflets and other paperwork, ordering supplies as required.
- Maintain the treatment and admin areas, ensuring cleanliness and safety in accordance with Trust guidelines.
- Report health & safety issues, staffing requirements, and any other duties within the scope of the grade with discretion of the Coordinator or Supervisor.
- Notify staff of changes to clinics, cancellations, and new patient appointments, and forward walking aids or other requests from A&E and Orthopaedic clinics.
Skills and Experience
- Previous experience in an administrative setting, preferably in a physiotherapy or NHS environment.
- Strong communication and customer service skills.
- Competent IT skills, including experience with electronic appointment booking systems such as SystmOne.
- Excellent attention to detail and organisational ability.
- Capacity to work under pressure and meet deadlines in a busy office environment.
