PURPOSE OF THE ROLE

As Microsoft Incentives Coordinator, you will play a key role in supporting HSO’s commercial success by managing and optimizing the administration of Microsoft incentive and licensing programs. You will ensure all incentive claims and licensing transactions are processed accurately, fully compliant with Microsoft’s requirements, and aligned to HSO’s sales and financial goals.

Working closely with Sales, Finance, and Purchasing teams, you’ll take responsibility for tracking, claiming, and reconciling incentives, rebates, and licensing activities, ensuring HSO maximizes return on every eligible Microsoft program. You will also maintain accurate licensing records, support renewals, and help internal teams stay compliant with changing Microsoft licensing models.

REPORTING LINE

This role reports to the Head of Sales Operations (or equivalent, depending on structure).

JOB FUNCTION
  • Collaborate with Finance and Purchasing teams to ensure timely invoicing, processing, and tracking of Microsoft incentives and licensing transactions.
  • Stay up to date with Microsoft incentive and licensing programs, including guidelines, program updates, and eligibility criteria.
  • Identify and manage all relevant incentive and licensing programs applicable to HSO’s business and market segment.
  • Support the Sales and Account Management teams with accurate licensing information, renewals, and program guidance.
  • Educate internal teams on Microsoft incentive programs and licensing changes to ensure full compliance and maximize potential benefits.
  • Serve as the main point of contact for internal licensing and incentive queries.
  • Prepare and submit accurate incentive claims and licensing reports within required deadlines, ensuring all documentation meets Microsoft audit requirements.
  • Gather, validate, and maintain supporting data including sales records, customer agreements, and proof of execution.
  • Monitor and track the status of claims and license renewals, proactively addressing discrepancies or missed opportunities.
  • Build and maintain strong relationships with Microsoft representatives and Partner Account Managers.
  • Work with Microsoft teams to resolve issues relating to claims, licensing eligibility, or program changes.
  • Maintain detailed records of HSO’s licensing portfolio, including active subscriptions, renewals, and customer entitlements.
  • Identify opportunities to improve the efficiency of incentive and licensing processes, reporting, and compliance management.
QUALIFICATIONS AND EXPERIENCE

Essential

  • Minimum of 2 years’ experience in a similar role within a Microsoft Partner or IT environment.
  • Strong understanding of Microsoft incentive and licensing structures (e.g., CSP, EA, or MCPP programs).
  • Excellent organizational and time management skills, with strong attention to detail.
  • Strong numerical, analytical, and problem-solving skills.
  • Ability to manage data accurately and meet strict deadlines.
  • Proficiency in Microsoft Office applications, including Excel, PowerPoint, and Teams.
  • Excellent communication and interpersonal skills, with the ability to engage stakeholders across departments.
Desirable
  • Experience using Microsoft Dynamics 365 (CRM) or other ERP/CRM systems for tracking incentives and licenses.
  • Previous experience managing Microsoft Partner Center or similar licensing portals.
  • Understanding of Microsoft Cloud Solution Provider (CSP) models and rebate structures.
  • Experience with partner co-op funding or rebate claims.

LOCATION

Our offices are based in Sale (Manchester), Reading, and Glasgow.

This role offers hybrid working, with flexibility to work remotely and attend the office for collaboration or meetings as required.

HOURS

Normal office hours are 09:00 to 18:00 (with one hour for lunch). Occasional flexibility may be required to meet submission or program reporting deadlines.
