Job description

FBC is a small, remote-based membership organisation seeking a Membership Database Executive to oversee, maintain, and develop our member database and related content. The DB Executive will ensure our data is accurate, secure, accessible, and supports the FBC's mission to effectively serve our members. This role combines technical database administration with membership data/content management and member engagement reporting, making it ideal for someone who is detail-oriented, self‑motivated, and passionate about enabling smooth operations in a mission-driven organisation.

Responsibilities
Membership Data Management
  • Using FBC's membership management software, maintain accurate and up-to-date records of members, including contact details, roles and functional responsibilities, member leavers/joiners, etc.
  • Support membership engagement by ensuring records reflect an individual's engagement with FBC at all times.
  • Flag gaps or inconsistencies in data and work with colleagues, and where applicable with the member organisations, to resolve them.
  • Ensure all member data is stored with consistent naming conventions, and that content data fields are consistently used to make information easily searchable.
  • Work with FBC team and contacts within the member organisations to obtain new or amended contact and functional role data for upload to the database.
  • Work with FBC team to identify and implement content maintenance and update processes to ensure ongoing accuracy of data stored in the membership database.
Member Software Management
  • Develop comprehensive expertise of FBC's membership management software (full training will be provided).
  • Based on this knowledge, identify and implement improvements in storage of membership data to enhance reporting and visibility of member information.
  • Work with system technical lead to ensure content is regularly maintained, downtime is communicated, and software provider support is optimised.
Data Reporting
  • Generate regular reports on membership trends and engagement.
  • Provide tailored data insights to staff and leadership for strategy and operations.
  • Use reporting to drive continuous improvements to the data structure and accuracy.
Data Quality & Compliance
  • Carry out periodic data checks to ensure completeness and accuracy.
  • Ensure all membership data and communications preferences comply with relevant data protection requirements (i.e. GDPR or equivalent).
  • Maintain clear documentation of data-handling procedures.
  • Ensure processes around data management are clearly understood by the FBC team and that the team are aware of their own responsibilities in maintaining the data.
Collaboration & Knowledge Sharing
  • Ensure FBC team have appropriate access to (and knowledge of) accurate member data, lists and content when needed.
  • Where needed, train FBC team on how to use the database effectively.
Benefits and Working Conditions

The role is offered initially on a part‑time basis, three days a week, ideally spread over the full working week. There is significant flexibility about how the role-holder manages their time while recognising that there will be key project deadlines to be met. The exact time commitment will be agreed with the successful candidate and reviewed as necessary.

The role is offered on either a contract or employed basis. The role will be conducted primarily from home, with some travel to London for meetings, as necessary. The successful candidate will be asked to provide evidence of their right to work in the UK.

Reporting to the Managing Director, Fiona Evans, the candidate will work closely with other FBC colleagues, as identified above.

Qualifications
  • Experience maintaining or working with databases/CRMs in a membership setting.
  • Advanced Excel skills to support creation of reports and ability to analyse and present data clearly for decision‑making.
  • Excellent attention to detail and accuracy in data handling.
  • Good organisational skills for managing data structure, content and records.
  • Effective communicator, able to work remotely within a small team and communicate professionally with senior team members.
Desirable
  • Familiarity with membership management systems (e.g., CiviCRM, Wild Apricot, Salesforce, etc.).
  • Experience organising digital content for member access.
  • Understanding of data protection principles.
