Job summary

A leading healthcare trust in Nottingham is seeking a Medical Workforce Coordinator to manage rotations and support resident doctors. Key responsibilities include overseeing the on-boarding process, maintaining rota compliance, and ensuring effective communication within the medical team. Candidates must have experience in a medical staffing environment. This role does not support Skilled Worker visa sponsorship.

Qualifications

Responsibilities

  • Operate the on-boarding process for Resident Doctors.
  • Administer and update Resident Doctors forum and timesheets.
  • Coordinate and oversee the smooth running of doctors’ rota.
  • Maintain shift patterns and monitor compliance with legislation.
  • Act as the first point of contact for all doctors.
  • Coordinate and support induction for Medical Staff.
  • Ensure communication of rota changes.
  • Assist in maintaining databases and systems used by the team.
  • Provide support to the Guardian of Safe Working.
  • Attend and present at meetings regarding locum usage.
  • Assist in day-to-day operational coordination.
Job description
Responsibilities

This position will be based in the Medical Workforce (part of the People & Culture Team) and support the department in the day‑to‑day coordination of all Medical Workforce matters. The role involves managing resident doctor rotations, on‑call rotas, ensuring compliance with 2016 Resident Doctors Terms & Conditions of Service and working on projects such as the Resident Doctor Engagement Plan and the digitalisation of processes.

  • Manage Resident Doctor rotations and design rosters, report exceptions, and coordinate work schedules.
  • Operate the on‑boarding process for Resident Doctors, including pre‑employment checks and induction.
  • Administer and update Resident Doctors forum, exception reporting and monthly review of timesheets for payment.
  • Coordinate and oversee the smooth running of doctors’ rota in line with legislation, including leave arrangements and prospective cover.
  • Maintain shift patterns, monitor compliance with 2016 Resident Doctor Terms and Conditions, and respond to new legislation and service developments.
  • Act as the first point of contact for all doctors and report sickness, annual leave and other absences in line with policy.
  • Coordinate and support induction for Medical Staff, including Locums, in various formats.
  • Ensure appropriate communication of rota changes to all relevant parties and enrol staff in timely distribution of documents.
  • Assist in maintaining databases and systems such as ESR, Excel databases and Allocate E‑Rota.
  • Maintain databases and systems used by the Medical Workforce team, and keep up to date with new legislation and good practice guidelines.
  • Provide support to the Guardian of Safe Working / Medical Workforce Manager with meeting reporting requirements regarding vacancies, out‑of‑hours work and locum shift usage.
  • Attend and present at meetings regarding on‑call rotas and locum usage.
  • Assist in the day‑to‑day operational coordination of other Medical Workforce issues as requested by the specialists.
Qualifications
  • Experience of working within a Medical Workforce department or a Medical Staffing/Recruitment department is essential; comparable experience will be considered.
Salary & Visa

This post does not meet the pay level required for a Skilled worker visa and therefore the Trust would not be able to sponsor for a Skilled Worker / Health & Care visa.
