Principal Accountabilities

Assist the Medical Staffing Manager with the smooth running of the Division of Surgery Medical Staffing Department. Produce and coordinate 24‑hour medical staff cover for the Orthopaedic Care Group, ensuring there is 24‑hour cover where required through compliant rotas in line with the New Deal and European Working Time Directives.

Main Duties & Responsibilities
  • Coordinate a range of medical staff rotas for the Surgical Division, dealing with day‑to‑day queries regarding rotas/emergency on‑call; monitor daily to ensure appropriate levels of cover and report any problems to the Medical Staffing Manager.
  • Health Roster – Support clinical directors and clinician business unit manager with consultant and junior doctors leave through the Health Roster electronic system, cancellation of commitments and rota coordination; report any problems to the Medical Staffing Manager.
  • Ensure that relevant staff and departments are kept up to date with leave booked by regular production and circulation of necessary information.
  • Work with Nurse Bank (Medical Staffing) to coordinate appropriate locum cover available for absences that cannot be cross‑covered internally. Submit CVs of agency locums to clinical leads and seek consultant and CMB approval prior to confirming bookings; notify relevant disciplines of locum cover.
  • Recruitment – Undertake all administrative duties in the recruitment of medical staff, in liaison with clinical leads, CBM and Recruitment Services, utilising the TRAC electronic recruitment system; report any delays or problems.
  • Coordinate information packs and relevant information for incoming medical staff and organise their inductions and training.
  • Provide administrative support for audit for the Head & Neck Clinical Business Unit, arranging sponsors, producing agendas and taking notes of meetings.
  • Provide CBM with administrative services as and when required.
  • Coordinate the induction process for medical juniors and new starters in liaison with Junior Doctors Leads, clinical leads and CBM.
  • Arrange completion of local induction checklists for short‑term locums.
  • Maintain personnel files for all medical staff – recording annual, study and professional leave, monitoring and recording sickness absences, taking appropriate action in support of clinical leads and CBM to ensure compliance with the Trust’s Attendance Policy.
  • Complete electronic sickness absence records for all medical staffing.
  • Coordinate clinical observer and clinical attachment appointments for overseas doctors as required.
  • Administer a range of medical staffing courses, conferences and training.
  • Attend meetings as and when required, providing updates on medical staffing issues.
  • Provide information to CBM and complete vacancy and change forms for medical staff contract changes.
  • Take notes of meetings as instructed by CBM.
