Job Summary

This is an exciting opportunity for an experienced and well‑organised Medical Secretary / Pathway Co‑ordinator to work within a busy, supportive and dynamic service for King's College Hospital based at Queen Mary’s Hospital, Sidcup. Excellent interpersonal and communication skills are essential as the post holder will be expected to communicate effectively and sensitively with patients, colleagues, sub‑contractors and external agencies to ensure continuity in achieving excellence in patient care. The post holder will work under pressure, exercise sound judgement, maintain confidential information and proactively assist in sustaining high standards of professional practice.

Main duties of the job
  • Use all Trust systems and processes to provide a full secretarial service to clinicians, including processing clinical letters and reports.
  • Verify and correct patient demographic details (address, postcode, GP, ethnic group) in a timely and accurate manner.
  • Act as the first point of contact for service users, dealing with email and telephone enquiries promptly and efficiently.
  • Organise and maintain electronic diaries for consultants and team as required.
  • Deal with colleagues in accordance with the working methods of the relevant consultants and Trust procedures.
  • Book and manage follow‑up appointments, including changing appointments when requested by patients and consultants.
  • Ensure rigorous RTT/PTL pathway monitoring and take immediate action to keep patient pathways correct in line with the Trust Access Policy.
  • Participate in meetings and highlight serious issues to management.
  • Prepare and circulate minutes and summaries.
  • Provide reciprocal cover for other secretaries and colleagues when requested.
  • Assist with the training and induction of new and temporary secretarial/admin staff.
  • Undertake reasonable duties as requested by the management team.
  • Book interpreters when required for patient clinic appointments.
  • Ensure office equipment functions correctly, arrange repairs or replacements, and order stationery.
  • Provide remote cover for the Pain Department at another site when requested.
