Overview

An exciting opportunity has arisen for a Medical Secretary in Chelmsford at Essex Partnership University NHS Foundation Trust (EPUT), based in the Chelmsford area. This challenging position requires a team player with flexibility, organisation and the ability to work well under pressure. As a medical secretary you will be the first point of contact for patients, doctors and staff throughout the Trust.

Responsibilities
  • Provide comprehensive secretarial and administrative support to the Consultant and clinical team.
  • Represent the team and department with due professionalism and maintain an excellent standard of patient care and communication.
  • Serve as a vital link for staff, patients, relatives and outside agencies as required.
  • Carry out all office cover duties and maintain office equipment and supplies.
  • Arrange and manage the Consultant’s diary, including meeting arrangements, room bookings, hospitality and agenda preparation.
  • Arrange investigation appointments (e.g. bloods, EEGs, ECGs, X‑rays, MRI scans) and ensure results are presented to the Consultant promptly.
  • Process case‑notes and discharge summaries, ensuring accuracy and compliance with protocol; follow up on care plans as indicated.
  • Arrange follow‑up appointments or referrals to other specialties where necessary.
  • Type and transcribe dictations using audio, shorthand or copy typing skills; ensure dictation and typing meet designated time limits.
  • Maintain confidentiality, comply with GDPR and Trust policies, and carry out health & safety duties.
  • Act as minute secretary for meetings/case conferences/working groups and ensure appropriate administrative follow‑up.
  • Coordinate actions for patients requiring admission, including liaison with necessary professionals.
  • Provide administrative support to other Consultant teams as required (e.g. for sick/annual leave cover).
  • Assist in induction of trainee doctors and new staff, providing templates, directions and support.
  • Maintain accurate records in the electronic patient records system, including patient care information and correspondence.
  • Ensure timely processing of invoices and expenses for Consultants.
  • Support and coordinate training programmes, conferences and events, ensuring all necessary arrangements are in place.
  • Deliver efficient filing, records and bring‑forward systems, ensuring proper indexing and accessibility.
  • Adopt flexible working arrangements, including work‑bank, flexible or part‑time shifts.
  • Maintain and order stationery stock and assist with office equipment repairs.
  • Actively contribute to a safe, inclusive and high‑performing workplace through engagement, equality initiatives and continuous improvement.
