We are looking for a part-time Medical Secretary to replace one of our secretary's who is due to retire in the new year. The role is a job share and you will be working as part of our busy, friendly secretarial team.

We are offering 21 hrs per week worked over 3 days, preferably Monday, Wednesday & Friday.

We offer a competitive rate of pay, dependent on experience, NHS pension and 4 weeks annual leave (pro rata).

Main duties of the job

Ideally, the successful candidate will have the following skills & knowledge:

Strong Typing Skills, good IT skills, Microsoft Word, a working knowledge of EMIS, experience of eRS & Docman would be beneficial but not essential. Previous experience of working within a GP practice would be beneficial. Training can be given.

We are looking for someone who is hardworking, competent and able to use their own initiative, able to work both independently as well as within a team.

Job summary:

To provide general secretarial support to the practicemanager, doctors and health professionals, involving word processing and audiotyping skills with general clerical work involving various practice packagesdetailed below.

Job responsibilities:

Toprovide an efficient audio, copy typing and word processing service for GPs andhealth professionals as required. This includes the typing of referrals,letters, reports, minutes, memorandums etc in an accurate, timely and qualitymanner using EMIS Web

To assistthe practice manager with all clerical and administrative duties

To typemedical/insurance reports and raise invoices documenting this process inpatients EMIS Web record and enter in ledger record

Toreceive incoming and initiate outgoing telephone calls in order to facilitatetimely and appropriate communications with others, taking messages and dealingwith appropriate queries.

Toprovide cover for members of the secretarial team during periods of sicknessand annual leave.

Typingand emailing of Coroners reports to the Coroners office

Recordingof and typing up of minutes and submitting them to Practice Manager

UsingDocman to respond to GP/ reception forwarded tasks including referrals

UsingAccuRx to send messages and copies of private patient referral letters topatients

Toprocess Advice & Guidance requests on e-referral from GPs to the hospitalconsultants and record their responses in patient electronic records. To alertGP to the response and any further action that may be required. To processonward referral to the hospital from raised Advice & Guidance if instructedto do so

Use emailextensively to send referrals to outside agencies namely SABP, CSH, AshteadHospital radiology department and private emails to consultants privatesecretaries, also to send by email GPimhs referrals.

Use emailto liaise with the ICB regarding e-referral queries

Use emailto liaise with outside agencies such as Epsom & St Helier hospitals, StGeorges hospital, London hospitals, East Surrey hospital, Croydon Universityhospital involving chasing appointments and expediting urgent appointments andfollow up appointments, chasing clinic correspondence, diagnostic test resultsand to be the go-between link in communicating between GPs and other agenciesand to record responses in patient EMIS Web record

Use emailto send referrals to Community Mental Health Team and deal with queries to andfrom them

Toprocess incoming email correspondence namely diagnostic results, clinicletters, prescription updates and amendments and sending them for scanning orsaving them to patient electronic record and alerting GP of receipt.

To recordto patient record from email all Return To Practice referrals (from ICB) and documenting these in patient record andinforming patient of this if required

To updateStaff Movements weekly to Emis Web

Toprocess Practice Notes/ Tasks on Emis Web sent by GPs and Reception involvinggeneration of referrals, chasing, expediting of appointments and liaising withthird parties as required to process these tasks and inform GP/patients asneeded

Toprioritise processing of Two Week Rule referrals and liaise with SDCCG, TwoWeek Rule office and patient as needed regarding any queries
