Responsibilities

  • Type letters, reports, and documentation as required.
  • Liaise with external agencies, ensuring referrals are processed.
  • Manage all enquiries effectively.
  • Action all incoming emails in a timely manner.
  • Process calling letters as requested.
  • Scan documentation and attach to patients' records.
  • Input and code SNOMED CT data on the clinical IT system.
  • Process referrals using the electronic referral system.
  • Process requests for information such as SAR and insurance letters.
  • Answer incoming phone calls and manage requests appropriately.
  • Conduct clinical system searches as needed.
  • Support clinical staff with administrative tasks.

Job description

We are looking for a Medical Secretary to join our growing team. Candidates will be familiar with Office Word, EMIS, Docman, Anima, DXS and eRS, or similar systems. The role will include producing medical reports and letters, so ideally they will have experience within a GP practice, of liaising with other healthcare agencies, patients, and the in-house clinical/non clinical team. We would like someone to join us full time, but will consider part time for the right candidate.

About us

We have a team of over 100 staff throughout 8 sites, including GPs, a Paramedic Practitioner, Clinical Pharmacists, Physicians Associates, a Physiotherapist, Practice Nurses, Healthcare Assistants, Social Prescribers and the administrative support workers, who deliver care to 37.5k patients. Even with a large team, we work closely together and regularly have PLTs and social events.

Job responsibilities

The following are the core responsibilities ofthe Medical Secretary in delivering health services. There may be, on occasion,a requirement to carry out other tasks. This will be dependent upon factorssuch as workload and staffing levels:

  • a. Typeletters, reports and associated documentation as required and within thespecified timescales as appropriate for the referral
  • b. Liaisewith external agencies such as hospitals and community services, ensuringreferrals are processed efficiently
  • c. Manageall enquiries in an effective manner
  • e. Actionall incoming email within a timely manner
  • f. Processcalling letters as requested
  • g. Scandocumentation and attach scanned documents to patients healthcare records
  • h. Accuratelyinput and code SNOMED CT data on the clinical IT system
  • i. Processreferrals using the electronic referral system (ERS)
  • j. Processrequests for information i.e., SAR, insurance/solicitors letters and DVLAforms
  • k. Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately
  • m. Conduct clinical systemsearches as requested
  • n. Supportall clinical staff with general administrative tasks as requeste
  • q. Be aware of duties andresponsibilities regarding current legislation and adhere to practice policiesand procedures on Safeguarding Adults and Safeguarding Children
  • r. Undertake all mandatorytraining and induction programmes
  • s. Contribute to andembrace the spectrum of clinical governance

Attend a formal appraisal with their manager at least every 12 months. Once a performance/training objective has been set, progress will be reviewed on a regular basis so that new objectives can be agreed
