Job summary

A healthcare organization is seeking a Medical Secretary to support the inpatient Consultant psychiatrist. Qualifications

Medical Secretary

The closing date is 01 December 2025. Ash Villa is a 15-bed female acute treatment ward. We are looking for a talented and experienced administrator to support our inpatient Consultant psychiatrist and their junior colleagues with day to day secretarial needs. You will need to be organised and proactive and able to work in a fast paced environment. The role includes a range of secretarial and administrative duties such as minute taking, diary management, report and letter writing and the use of various software systems.

Job responsibilities
  • Minute taking and production of formal minutes of meetings
  • Planning appointments and managing diaries
  • Prioritise workload to maintain deadlines
  • Filing and accurate management of patient records
  • Managing phone calls and liaising between services
  • Produce accurate high quality medical correspondence including letters, Mental Health Act reports, memoranda and other documents.
  • Provide cross cover and support for other secretaries as necessary.
Qualifications
  • GCSE or equivalent in English Grade A‑C or 9‑4 or Level 2 Literacy.
  • RSA III Typing and Audio or equivalent.
  • ECDL or equivalent.
  • NVQ 4 Business Administration or equivalent.
  • AMSPAR.
  • Medical Terminology Certificate or experience.
Experience
  • Substantial experience in a secretarial role.
  • Experience of people with mental health problems.
  • Experience of working as part of a team in a busy office.
  • Diary management including electronic diary management.
  • Previous experience in a medical or NHS setting.
Skills
  • Excellent organisational skills.
  • Ability to accept and manage change.
  • Must be reliable and to work under pressure and deadlines under own initiative.
  • Good time management skills and able to prioritise workload.
