Job description
We are looking for a Medical Secretary to provide a proficient and professional medical service to our consultants and support with administrative tasks, providing cover as and when required to other members of the department. Acting as point of contact for patient enquiries and offering outstanding customer service at all times. Your goal will be to ensure the smooth workflow of our medical facilities so that our patients receive the best possible care.
Main duties of the job
- Provide an efficient and timely secretarial service to assigned consultants and other associated teams.
- Liaise with patients on a daily basis, handling queries and arranging admissions in a professional and courteous manner.
- Manage office communications, including phone and correspondence.
- Liaise with insurance companies and other external agencies as appropriate.
- Produce medical letters, operation/clinic notes and other related documentation.
- Arrange completion of claim forms when required and keep all financial paperwork up to date.
- Develop good working relationships with consultants, administration teams, nursing staff and other departments.
- Manage outpatient bookings and ensure the appointment process runs smoothly.
- Maintain consultants’ records and filing, keeping detailed patient and medical records.
- Practice and maintain a high standard of confidentiality and exercise absolute discretion with patient and staff information.
- Provide and receive patient information in accordance with the Data Protection Act, GDPR guidelines and Spire policies.
- Liaise closely with patients, consultants and clinical teams regarding any special requirements or individual requests.
- Undertake all work in accordance with company hospital policies and procedures, including the Health and Safety at Work Act, manual handling and fire procedures.
- Maintain confidentiality of all information related to patients, consultants and staff without disclosing it under any circumstances.
- Present a professional, smart image at all times and adhere to the hospital uniform policy.
- Carry out any other duty that reasonably falls within the general nature and level of responsibility of the post.

Qualifications
- Good standard of secondary education with demonstrable literacy and numeracy skills.
- RSA Standard or Medical Secretarial Diploma (desirable).
- Track record of successful delivery in a similar role, with previous experience in the medical sector.
- Good understanding of medical terminology.
- Excellent interpersonal and communication skills.
- Ability to build and maintain effective working relationships, both internally and externally.
- Strong focus on delivering and meeting customer expectations, with the ability to handle difficult situations.
- Confident telephone manner with the ability to communicate with a wide range of customers at all levels.
- The ability to work effectively as part of a team.
- High degree of accuracy and a methodical approach to workload.
Experience
- Good standard of secondary education with demonstrable literacy and numeracy skills.
