Responsibilities

  • Undertake a wide range of secretarial and administrative duties.
  • Process information both electronically and as hard copy.

Job description

We are recruiting an experienced medical secretary to work 20 - 25 hours per week and join our multi-disciplinary team providing a high standard of care for our practice population of approx 12,900 patients.

We are a forward thinking practice and our team are friendly, approachable and supportive. We are a GP training practice, with much experience of training staff in a variety of our valued roles and supporting personal development.

The surgery is in a modern purpose built building with free staff parking and are close to good public transport links.

Main duties of the job

The successful applicant will beresponsible for undertaking a wide range of secretarial and administrativeduties and the provision of administrative support to the multidisciplinaryteam.

Duties caninclude, but are not limited to

  • the processing of information (electronic andhard copy)
  • the processing of referrals to other services in a timely manner
  • liaising with multidisciplinary team members andexternal agencies such as secondary care and community service providers inaccordance with current policies.
  • supporting the administration and receptionist teams as required.
  • to be responsible for coding of relevant information into patient's electronic healthcare records, adhering to the practice coding policy
About us

Our practice team is led by 4 partners and comprises of GP's, GP reg, Salaried GP, ANP, ACP's and Trainee ACP, Physician Assistants, Practice Nurses, Nurse Associates, Healthcare Assistants, Pharmacist, Pharmacy Technicians and GP Assistants. These are all well supported by our reception and administration team.

We have a close practice team of over 40 staff who are friendly, approachable and supportive. We strive to provide a high standard of care for our patients with the resources available to us and working in partnership with wider health and social care services.

The practice is an active member of Dewsbury & Thornhill PCN and Curo Healthcare GP Federation working with other local practices to develop population care.

Job responsibilities

The following are the core responsibilities ofthe Medical Secretary in delivering health services. There may be, on occasion,a requirement to carry out other tasks. This will be dependent upon factors suchas workload and staffing levels:

  • a.Typeletters, reports and associated documentation as required and within thespecified timescales as appropriate for the referral
  • b.Liaisewith external agencies such as hospitals and community services, ensuringreferrals are processed efficiently
  • c.Manageall enquiries in an effective manner
  • e.Actionall incoming email within a timely manner
  • f.Processcalling letters as requested
  • g.Scandocumentation and attach scanned documents to patients healthcare records
  • h.Accuratelyinput and code SNOMED CT data on the clinical IT system
  • i.Processreferrals using the electronic referral system (ERS)
  • j.Processrequests for information i.e., SAR, insurance/solicitors letters and DVLAforms
  • k.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately
  • m. Conduct clinical systemsearches as requested
  • n.Supportall clinical staff with general administrative tasks as requested
  • Maintain a clean, tidy, effectiveworking area at all times
  • p.Bean integral part of the general practice team
  • q. Be aware of duties andresponsibilities regarding current legislation and adhere to practice policiesand procedures on Safeguarding Adults and Safeguarding Children
  • r. Undertake all mandatorytraining and induction programmes
  • s. Contribute to andembrace the spectrum of clinical governance
  • t.Attenda formal appraisal with their manager at least every 12 months. Once aperformance/training objective has been set, progress will be reviewed on aregular basis so that new objectives can be agreed
