Job description

The Ivy Medical Group is looking for either 1 x full time or 2 x part time receptionist(s) to join the team to provide a high level of Reception and administrative services to patients, doctors, nurses and other members of the practice team, ensuring all processes are carried out to practice standard and policy. Our practice is a friendly, interesting and rewarding place to work giving a high level of care to our patients.

Hours required are

Monday 08:00 - 18:30

Tuesday 08:00 - 18:30

Friday 08:00 - 18:30

If the job is full time then the days will be 9.5 hours per day with 1 hour unpaid lunch.

If the job was shared over 2 successful candidates then the shifts could be split into half days. 08:00 - 14:00 or 13:30 - 18:30

Main duties of the job

To carry out admin duties as per practice procedure but to also use own initiative to ensure processes are smooth running and effective in the following areas:

  • Maintaining and monitoring the practice appointment system
  • Process personal, telephone and e-requests for appointments
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Process appointment requests for today/future appointments from patients by telephone and in person.
  • Signpost patients to the correct service
  • Initiating contact with and responding to, requests from patients, team members and external agencies
  • Receiving patients, consulting with members of practice team
  • Handing completed repeat prescriptions/pathology requests to patient and checking names and address.
  • Be able to cover all reception positions as necessary
  • Action requests for patient medication via telephone systems, tasks and emails.
  • Request, update and complete query messages on system logs.
  • Record, update and complete patient tasks within clinical system by liaising with the relevant persons for information.
  • Sort all incoming patient-related mail.
  • Scan patient-related documents into the clinical system
  • Send information to patients via AccuRx text messages
  • Check and process new patient registrations.
  • Liaise with teams for network/IT/phone support
  • Pulling/filing paper notes for surgeries and updating as necessary.
  • Take action as directed by other team members

Job responsibilities

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
