Job description

We are seeking a motivated, enthusiasticand hardworking Medical Receptionist to join our friendly and busy team.

37 hours per week working at bothsites on a rota basis

Main duties of the job

Our receptionists are an importantpart of our team and will receive, direct and assist our patients in accessingthe appropriate service or healthcare professional in a courteous, efficientand effective way. They will alsoprovide general administrative assistance to the practice team and act as afocal point of communication between patients, doctors and other medical andclerical staff

Job responsibilities
  • The duties and responsibilities to be undertaken by members of the reception team may includeany or all of the items in the following list.Duties may be varied from time to time under the direction of thepartners, practice manager, assistant practice manager or lead receptionist,dependant on current and evolving practice workload and staff levels.
  • Effectivelygreet patients and visitors attending the surgery in an appropriate andprofessional manner at all times
  • Runthe surgery appointment system efficiently to ensure patients are directed tothe most appropriate healthcare professional and setting
  • Communicatewith patients, relatives and carers using all methods available includingtelephone, face-to-face, text messages and e-mails
  • Processin person, by telephone and e-mail general enquiries ensuring accuracy ofdetail in all messages and ensuring these are actioned as necessary
  • Actionall practice tasks and workflow comments daily in accordance with thepractice policy
  • Explainpractice procedures and arrangements for patients wishing to register eitherpermanently or temporarily and ensuring the patients are residing within thepractice boundary and appropriate documents are completed
  • Registrationof patients, both permanent and temporary, and ensure information entered ontosystem is correct
  • Processdeduction of patients and receipt of medical records for newly registeredpatients
  • Liaisewith hospital departments and consultants/secretaries for additionalinformation and test results as required
  • Actionrepeat prescription requests and ensuring they are ready for collection by thepatient within 48 hours
  • Provideresults of tests and investigations as requested and advised by the GP
  • Informpatients of relevant charges for Non-NHS services, accept payment and issuereceipts for same
  • Updatepatient details to ensure correct and accurate details are held, i.e. correctaddress and telephone number
  • Accuratelyscan and attach clinical and administrative information/correspondence ontopatients records
  • Ensurecorrespondence, reports, results etc are filed promptly and in the correctrecords, ensuring that all recent correspondence is available when patients areseen
  • Retrieveand re-file records as required, ensuring strict alphabetical order is adheredto
  • Issuecorrect and appropriate specimen containers and forms and ensure the correctinformation is obtained and completed on return of the specimen
  • Raiseservice requests with members of the wider healthcare team including DistrictNurses, Health Visitors, Community Matron, Palliative Care Nurses and others
  • Maintainsupplies of stationery in consulting rooms and reception area
  • Openup premises at the start of the day when first to arrive, de-activate alarm andmake all necessary preparations to receive patients
  • Ensureall practice computers are switched on/off at the beginning and end of each day
  • Whenlast to leave at the end of the day, ensure that the building is totallysecured, internal lights are off and the alarm activated
  • Ensurethat the reception area is tidy at the end of each surgery session inpreparation for incoming colleagues
  • Organisethe reception and waiting areas maintaining a tidy work area and a professionalappearance of patient leaflets and notice boards
  • Provisionof refreshments as required, keeping kitchen area clean & tidy and ensuringall dishes are washed
  • Undertakeany other additional duties appropriate to the post as requested by thepartners or the practice manager
