Job description

We're looking for an organised and personable Medical Practice Assistant to join a growing wellness and wellbeing practice in London. This is an opportunity to work alongside a great team, supporting a well-regarded doctor in a busy but supportive environment, playing a key role in ensuring the practice runs smoothly and patients receive excellent care.

This candidate will be the backbone of the practice, managing everything from patient records and appointment scheduling to correspondence and billing. Maintaining confidentiality and discretion at all times is understandably essential; therefore, we're looking for someone calm under pressure, naturally friendly and sensitive, discreet, and enjoys the variety that comes with keeping a medical practice ticking‑over.

Experience as a medical secretary is preferable, although full training will be provided.

Duties include but are not limited to:

  • Manage patient records / ensuring electronic and paper files are up to date and compliant
  • Schedule appointments / follow‑ups, and procedures
  • Coordinate diaries
  • Produce practice correspondence – letters, emails, medical reports, referral documentation
  • Process billing and insurance claims, prepare invoices, and assist patients with payment queries
  • Maintain office systems, order supplies, keep reception area welcoming and organised
  • Greet and check in patients, collecting necessary information
  • Phone and email enquiries, providing information about services and taking messages
  • Coordinate patient flow throughout the day, ensuring clinicians have all necessary records and test results to hand
