Job Overview
North Bristol NHS Trust are seeking to appoint a Materials Management Assistant. You will be predominantly on your feet in busy clinical environments, working as part of a team to manage the replenishment of a wide range of hospital consumables.
Responsibilities
- Generate orders based on established PAR levels.
- Check and unpack deliveries.
- Ensure cleanliness and upkeep of storage areas.
- Work across the NBT site in several different locations.
- Liaise with a wide range of hospital staff and external suppliers.
- Problem‑solve to maintain supply throughout the year.
Key Duties (Detailed)
- Replenish goods at ward, theatre and departmental level using bar‑code systems and adhere to PAR levels.
- Assist trust clinical staff and local budget holders with maintaining optimum stock levels.
- Establish clear priorities, highlight trends, initiate corrective action and carry out special exercises as required.
- Report all exceptions to the Supply Chain Analyst.
- Adhere to the scanning schedule issued by the Supply Chain Analyst.
- Maintain and update labelling and records electronically and physically.
- Support e‑procurement implementation, including electronic catalogues and inventory management.
- Ensure timely and accurate deliveries and professional storage.
- Provide monthly stock count figures to all requisition points as required.
- Maintain cleanliness of storerooms and dispose of waste appropriately.
- Process purchase orders and assist with the purchasing process.
- Assist with record maintenance and provision of statistical information.
- Answer the telephone, take messages and act as appropriate.
- Attend team meetings and feedback sessions.
- Interact regularly with the AGV system to ensure service continuity.
- Log expired and wasted stock with value recorded as applicable.
- Resolve day‑to‑day materials management queries from wards and departments.
- Chase outstanding orders by liaising with procurement or suppliers.
- Operate office equipment appropriately.
- Ensure all goods ordered are on EROS and procure through appropriate channels.
- Move to new areas of responsibility as directed by the Supply Chain Analyst.
- Process stock requisitions and returns using the purchasing system.
- Provide high‑quality materials management service to meet service level targets.
- Understand the processes followed by the Materials Management Service in all departments.
- Comply with statutory regulations and standing financial instructions.
- Undertake any other assignments allocated.
- Provide cover for other Materials Management Assistants when required.
Qualifications & Experience
- Educated to GCSE/O level in English and Mathematics.
- Experience in an office environment.
- Supply chain experience.
- Experience in a customer‑facing role (retail, hospitality, etc.).
- Knowledge of supply chain principles.
- Good communication skills.
- Ability to work with own initiative.
- Good time‑management and organisational skills.
- Numerical skills.
- Problem‑solving skills.
- Proficient with PC and Microsoft Office (Word, Excel, Outlook).
- Strong team ethic.
- Flexible approach to working hours and location.
- Attention to detail.
Shift Details
Shifts will be allocated to cover the service hours of 07:00 to 17:00, Monday to Friday; applicants must be available to work any 7.5‑hour shift within those hours.
