Maintenance Works Co-ordinator

  • Location: India House, Newcastle upon Tyne
  • Department: Maintenance
  • Reports to: Estates Maintenance Manager
About The Role

We’re looking for an organised and proactive Maintenance Works Co-ordinator to join our busy Maintenance Team at Malhotra Group. In this key role, you’ll oversee the smooth running of daily maintenance operations across the Group ensuring our buildings, equipment and facilities are safe, well-maintained, and compliant. You’ll be the link between the maintenance team, contractors, and other departments, helping to keep everything running efficiently. You’ll also provide essential administrative support to the Maintenance Office, ensuring that all documentation, scheduling and communication run seamlessly.

What You’ll Be Doing
  • Plan, organise and coordinate maintenance and repair works.
  • Liaise with department heads and contractors to schedule and complete tasks efficiently.
  • Maintain accurate maintenance logs, reports, and compliance records.
  • Assist in budget management, sourcing suppliers, and processing invoices.
  • Keep on top of maintenance materials and equipment inventory.
  • Support the maintenance team with scheduling, training, and documentation.
  • Ensure all maintenance work is completed safely and meets regulatory standards.
  • Provide general administrative support for the Maintenance Team, including filing, document control, and responding to enquiries.
