Role Summary

An exciting opportunity has arisen for a dedicated and enthusiastic individual to join the Lung Cancer Admin Team within Respiratory based at Chest Clinic, St Woolos Hospital.

The role of the Lung Cancer Admin Clerk will be to manage the referrals and booking of the lung cancer clinics for both St Woolos and Nevill Hall Hospital.

The post will be diverse and demanding but satisfying. The post holder will be expected to work alongside and in partnership with a wide range of Health Care Professionals both internal and external to the Health Board.

The successful candidate will be able to demonstrate excellent organisational and administrative skills with an eye for detail and accuracy.

Key Responsibilities
  • Assist with the management of patients' pathways within the Lung Cancer service, including referral input and management of outpatient appointments.
  • Action electronic referrals via CWS.
  • Collate and input clinic outcomes.
  • Prepare clinics including documentation and organising equipment if required.
  • Support Respiratory Consultants, Respiratory nurses and secretaries with booking and administrative duties.
  • Provide admin support for weekly cancer tracker and preparation of MDT.
  • Be responsible for the timely and accurate input, maintenance and updating of confidential patient information onto all relevant Health Board IT systems.
  • Work independently, without direct supervision, exercising initiative and judgment.
  • Prioritise filling clinics to capacity and use judgement to book patients well in advance on systems such as Myrddin.
  • Answer and action telephone enquiries from General Practitioners, other hospital departments, patients and relatives with discretion and sympathy.
  • Book urgent patients onto the next appropriate treatment list, liaising with the responsible clinician if necessary.
  • Replace cancelled patients whenever possible to ensure full utilisation of clinics.
  • Ensure all outcomes for patients attending outpatient clinics are recorded clearly and accurately within prescribed timescales.
  • Maintain data quality to the highest level despite interruptions.
  • Use all codes provided fully and correctly to enable accurate analysis of information.
  • Communicate regularly with Medical and Nursing staff for booking of sessions and filling of clinics.
  • Communicate with patients sympathetically, negotiating proposed dates for clinic attendance.
  • Alert staff to lack of capacity or potential breaches affecting timely care.
  • Liaise with service managers, patients, medical and nursing staff and respond promptly to queries and concerns.
  • Attend all relevant meetings to stay updated with organisational plans and communicate with directorates and departments.
  • Remain up-to-date with current procedures in CWS, Myrddin and other IT systems.
  • Implement RTT rules and ensure patient pathways accurately reflect progress towards treatment.
  • Train and support less experienced staff, monitoring and distributing work to bank staff and floats.
  • Maintain an up-to-date reference document detailing the requirements of the clinical staff and service.
  • Be responsible for the care of office equipment and report problems when they occur.
  • Provide flexible coverage within the Department, including travelling if necessary.
  • Participate in the KSF framework and personal development plan, and complete all statutory and mandatory training.
  • Liaise with Health Records staff for scanning of required notes.
  • Notify senior staff of system or procedure changes that might improve patient care and office procedures.
  • Carry out any other duties as required by the service.
