Overview

We’re currently recruiting for an experienced Legal Secretary to join a well-established law firm in their Probate department, based in Mansfield. This role offers the opportunity to provide high-quality administrative and secretarial support to fee earners, helping ensure the department operates efficiently and effectively.

Key Responsibilities
  • Manage and process incoming post, ensuring any key dates or urgent matters are identified and acted upon promptly.
  • Prepare accurate legal documents, correspondence, and forms from digital dictation, written, or verbal instruction, using templates and precedents where required.
  • Handle incoming telephone calls, take clear messages, and ensure timely communication with the relevant fee earner.
  • Maintain diaries, organise appointments, and assist with meeting preparation to support smooth day-to-day operations.
  • Meet and liaise with clients both in person and over the phone, delivering a professional and courteous service at all times (note: no legal advice to be provided).
  • Maintain confidentiality of all client and firm information at all times.
  • Liaise with third parties such as solicitors, barristers, courts, and other professionals as necessary.
  • Establish and maintain organised electronic and paper filing systems, ensuring accurate record-keeping and file management.
  • Open and close client files in line with firm procedures, including preparing files for archiving.
  • Prepare outgoing correspondence and manage document dispatch in a timely and accurate manner.
  • Provide support and guidance to trainee or temporary secretaries when required.
  • Contribute to personal and professional development, as well as the wider objectives of the team.
  • Undertake additional administrative or ad hoc duties as requested.
Requirements
  • Previous experience as a PA/Secretary, ideally within a Private Client or Probate department.
  • Excellent typing and document production skills, including digital dictation.
