Legal Executive Assistant

Location: Edinburgh (Office-Based, 1 Day WFH Available)

Salary: £30,000-£33,000

We are currently seeking a highly organised and proactive Legal Executive Assistant to join our client's busy Family Law team in Edinburgh. This is a key role in supporting lawyers and paralegals through a wide range of administrative and executive support tasks. The successful candidate will have previous experience working within a Personal or Family Law team and will be confident working in a fast‑paced environment with tight deadlines.

Key Responsibilities
  • Provide comprehensive administrative and executive support to the Family Law team.
  • Manage and complete BigHand and non-BigHand tasks within required timescales.
  • Handle new client enquiries, taking accurate information and ensuring a professional first impression.
  • Diary management including scheduling appointments, coordinating meeting rooms and preparing meeting materials.
  • Proactively manage shared and individual email inboxes, flagging urgent matters and ensuring timely follow-up.
  • Prepare, organise and maintain documents, case papers and digital filing within the document management system (DMS).
  • Scan, distribute and action incoming mail and communications as required.
  • Anticipate meeting requirements by preparing itineraries, background notes and client information packs.
  • Support team efficiency, particularly during staff absence, ensuring continuity of client service.
  • Prioritise multiple ongoing tasks and follow through to ensure timely completion.
About You
  • Previous experience working within a busy Personal or Family Law practice is essential.
  • Highly organised with the ability to work under pressure and meet tight deadlines.
  • Excellent written and verbal communication skills with confidence dealing with clients and stakeholders at all levels.
  • A strong team player, proactive and willing to support colleagues and contribute to a positive working environment.
  • Professional, discreet and client‑focused in all interactions.
