Legal and Administrative Assistant

Overview

Our client is seeking a proactive and detail-oriented Legal and Administrative Assistant to provide high-quality support across Legal, HR, and wider business operations. The successful candidate will be organised, discreet, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities
Legal Support
  • Maintain trackers and regularly update legal reports.
  • Schedule and coordinate meetings, deadlines, and project timelines.
  • Draft, format, proofread, and review contracts, legal correspondence, and other documentation.
  • Manage confidential files and monitor key legal deadlines.
  • Oversee the organisation of the legal filing system and ensure compliance with data protection standards.
  • Coordinate document execution and filing, liaising with internal teams and external stakeholders.
  • Provide basic company secretarial support.
  • Handle ad hoc legal and administrative tasks as required.
HR Support
Operational HR Administration
  • Maintain accurate and up-to-date employee records in HR systems (e.g. Deel, BambooHR).
  • Support the preparation of standard employment documents, including contracts, letters, and amendments.
  • Assist with onboarding and offboarding, including inductions, background checks, documentation, and leaver processes.
  • Track visa, right-to-work, and compliance records, escalating any issues promptly.
Policy & Compliance Support
  • Format, proofread, and publish HR policies and procedures.
  • Conduct initial compliance checks to ensure documentation aligns with internal standards and legal requirements.
  • Assist in updating and maintaining the Company Handbook, and prepare internal summaries for employee communication.
Employee Relations & HR Queries
  • Respond to basic HR-related queries, escalating complex matters as needed.
  • Support employee relations processes, including note-taking in formal meetings and issuing standard letters.
  • Handle all employee and company information with professionalism and discretion.
Coordination & Projects
  • Provide logistical support for HR projects, audits, and compliance checks.
  • Collate and organise documentation, track progress, and prepare reports.
  • Liaise with Legal, Finance, IT, and other departments to ensure smooth operational coordination.
General Administrative Support
  • Assist with the Company’s Carbon Reduction Plan and audit preparation.
  • Manage calendar scheduling for senior team members across Quad 4.
  • Prepare, proofread, and edit internal and external reports, communications, and presentations.
  • Coordinate travel and accommodation arrangements for relevant team members.
  • Build and maintain effective working relationships across the organisation and with external partners.
  • Provide general remote administrative support to ensure the smooth running of day-to-day operations.
