About the role?

The purpose of your role is to ensure all GWR learners receive a positive learning experience and receive the required training for their role. This includes induction, management and ad-hoc training.

You will be populating and distributing joining instructions and training schedules in a timely and accurate manner. You will work to meet agreed SLAs, set to meet the needs of key stakeholders.

You will ensure induction, management, and ad-hoc training is planned effectively which includes ensuring appropriate facilities are available to delegates and trainers in terms of transport, teaching, materials, training rooms, refreshments and accommodation.

Your main responsibilities will be?

General

  • Respond to general queries through the shared inbox.
  • Respond efficiently to requests for additional courses and general enquiries from delegates and managers.
  • Implement all administrative duties to secure the successful set up, attendance and completion of courses.
  • Make suggestions for improving and streamlining the administration processes.
  • Provide training administrative support for existing and new training programs and projects.
  • Collaborate with and support the Learning & Development administration team and the wider business.

Data & systems

  • Ensure compliance to data protection and employment laws.
  • Prepare data to support periodic KPIs.
  • Maintain delegate training record database by recording course bookings on inhouse systems.
  • Create users and courses on LMS to enable colleagues to manage their own course selection.

Resourcing

  • Liaise with external vendors to book training venues, hotels, and organise meals.
  • Resource planning for training - working with recruitment teams to plan resource and schedule induction and role‑specific training.
  • Organise training provided as part of induction or role‑specific training, including booking venues and trainers, responding to queries, populating and sending joining instructions.

Budget & Ordering

  • Arrange travel passes for new employees.
  • Raise and issue purchase orders to include items such as stationery, training resources, and supplier invoicing (L&D related); maintain an auditable log of expenditure.
  • Collate costs for reporting purposes and review processes to promote cost savings and efficiencies.
As a minimum, you will have?
  • Knowledge of resources required to meet operational delivery.
  • Strong IT skills including Office 365 (especially Work, Excel and Outlook).
  • Exceptional organisational skills, prioritisation and time management.
  • Problem solving skills, attention to detail and timely decision making.
  • Good communication, with the ability to build effective relationships at all levels of an organisation.
  • A customer service focus, with a can‑do attitude.
  • Previous administration experience in a busy office environment, with proven experience of following processes and implementing improvements.
  • Experience of a resource planning system and data analysis.

This role is based in Milford House, Swindon.

This is a part time role, 19 hours a week. This is a fixed term opportunity for 9 months.
