Learner Support Fund Administrator

Accountable to: Deputy Director, Student Services

Aims of Job / Job Purpose

Through the implementation of best practice procedures and using a customer focused approach, the LSF administrator will provide and maintain a high standard of administrative support to the LSF team.

Key Accountabilities and Responsibilities
  • Exercise confidentiality and discretion in respect of applications, records, meetings and other communications which are of a sensitive, controversial or personal nature.
  • Input LSF applications onto a web based platform with reference to all appropriate support.
  • Assist the LSF team in the administration of the fund and ensuring divisional service standards are met.
  • Check applicant criteria using appropriate resources to check attendance.
  • Liaise with students, support and curriculum staff across the college and handle enquiries made by telephone, electronic systems and face to face with reference to all LSF applications.
  • Support the administration of the overall customer liaison team when required.
Other Duties and Responsibilities
  • Comply with internal and external quality standards and contribute to the College's strategic aims.
  • Comply with college policies and procedures and health and safety regulations.
  • Support the safeguarding and promotion of students' interests.
  • Maintain confidentiality in relation to all College information and comply with Data Protection Legislation.
  • Participate in the College's Appraisal scheme and undertake any training as required.
  • Support and actively participate in the implementation of the College's Equal Opportunity policies.

Person Specification

Characteristic Essential

  • To be qualified to Level 3
  • Demonstrate administrative and organisational skills and must have secretarial or office administration experience
  • Excellent IT skills to include Microsoft Office packages and Management Information Systems and must be qualified to RSA level 3 or equivalent
  • Demonstrable experience of and commitment to delivering excellent customer service and be able to work under pressure in a front line role.
  • Customer Service qualification would be an advantage
  • Experience of working within a team and supporting those in the team
  • Demonstrable communication skills, liaise effectively with a range of outside agencies
  • Demonstrable numeracy and literacy skills by maintaining accurate finance records
  • Demonstrable record of working flexibly and using own initiative
  • Able to work flexibly across college sites
  • Able to work outside of the normal week, with reasonable notice, as required and depending on the needs of the service, including occasional evening and weekend working
  • Be prepared to work occasional flexible hours
  • Experience of working to pressure and tight deadlines
  • Demonstrable record of achievement against objectives and targets
  • Driving license would be an advantage
  • To assist with surplus workloads as and when required, both within your own center and at cross college level
