About Us

Our prestigious banking client is seeking a Japanese Speaking Personal Assistant to support the General Manager. This role is crucial in ensuring seamless administrative and organisational support, contributing to the efficient operation of the department and enhancing commercial activities through effective client and stakeholder interaction.

Purpose of Job

As the GM's Personal Assistant, you will manage the GM's schedule, coordinate business travel arrangements, and ensure that daily activities run smoothly.

Key Responsibilities
GM Personal Assistance
  • Manage the GM's calendar, appointments, and meetings.
  • Arrange business travel according to organisational policies.
  • Communicate important schedules and business trips.
  • Organise and maintain documentation and correspondence for the GM.
  • Assist with personal tasks related to the GM's arrival and departure.
General Affairs / Administrative Work
  • Claim reimbursements for staff and report on expense budgets monthly.
  • Raise Gifts & Entertainments applications and secure timely approvals.
  • Onboard new suppliers, manage invoices, and update existing supplier details.
  • Conduct Anti-Bribery and Corruption Due Diligence for suppliers.
  • Manage systems for new joiners/leavers and office supplies.
  • Coordinate administrative tasks for events and seminars.
General Support
  • Provide operational support to Marketing, Planning, and Bizcom teams, including data management and internal email distribution.
Other
  • Handle confidential information with discretion and professionalism.
  • Ensure compliance with regulations, internal policies, and procedures.
Qualifications and Skills
  • Fluency in Japanese and English is essential.
  • Previous experience as a Personal Assistant or in a similar administrative role is preferred.
  • Exceptional organisational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficient in Microsoft Office and related software applications.
  • Ability to prioritise tasks and work independently.
