Italian Speaking Executive Assistant / Legal Secretary

A leading global law firm is seeking an experienced Executive Assistant / Legal Secretary to provide high-quality secretarial and administrative support to a team of partners, associate and trainee solicitors. The role requires close collaboration with other secretaries and business support professionals

Responsibilities
  • Managing complicated diaries and meeting coordination
  • Organising complex international travel
  • Prioritising urgent matters and resolving scheduling conflicts with professionalism and discretion.
  • Managing inboxes to ensure that client related emails are handled promptly and accurately filed.
  • Oversee the billing process,
  • Open new clients and perform conflict checks
  • Draft and amend engagement letters
  • Maintain up-to-date client contacts in InterAction.
  • Formatting and proofreading documents, spreadsheets, and presentations to a high standard
  • Completion and submission of expenses.
  • Act as a first point of contact for calls and correspondence, maintaining a professional and approachable manner at all times.
Requirements
  • A minimum of five years’ experience supporting at partner or senior level within a legal, corporate, or financial services environment
  • Fluent in English and Italian
  • Excellent MS Office skills (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Exceptional organisational skills and the ability to multi-task effectively
  • Professional demeanour with a calm, positive, and flexible attitude under pressure
  • High attention to detail and the ability to prioritise competing demands
  • A proactive approach, strong attention to detail, and the ability to anticipate the needs of fee earners and clients are essential.
