Description

Funding support from the UK Government, in the form of the CGT Catapult core grant, is a fundamental element of the CGT Catapult operating model. Working as part of the Strategy and Impact Group, the Impact PMO Coordinator will support the Senior Impact Manager and Impact PMO team to ensure the consistent and efficient execution of operational activities. This contributes towards the effective evidencing of Impact and reporting of KPIs and metrics to Innovate UK.

In addition, this role will work closely with Finance, Business Development and the Business Streams to ensure that all activities are appropriately captured and reported to maximise the demonstration of CGT Catapult impact. This position will be offered as a fixed-term contract (FTC) for a period of between 15 and 18 months.

Key Responsibilities
  • Project Reporting & Data Management
  • Assist in collecting and compiling project data for key reports
  • Support the maintenance of the corporate milestone's tracker, including proactively following up with stakeholders to ensure timely updates
  • Support the development of monthly reports, ensuring timely delivery and adherence to quality standards
  • Maintain and update the project master list; input key data into PMO automation tools, SharePoint, and CRM systems
  • Coordinate and support the preparation of monthly project dashboard reports
  • Identify inefficiencies in reporting processes and recommend improvements
  • Project Lifecycle & Governance Support
  • Support project lifecycle management, particularly initiation and closure phases
  • Track and support post-project activities to ensure complete lifecycle visibility
  • Input lessons learned into the central repository and facilitate knowledge sharing
  • Follow up on actions from governance activities (e.g., collaborator surveys, meetings, milestone tracking)
  • Assist with audit readiness, ensuring accessible and accurate documentation
  • Meeting & Communication Coordination
  • Organise key Impact PMO meetings, including quarterly reviews and internal team meetings
  • Drive effective communication within the Impact PMO team and across the programme delivery network
  • Manage shared inboxes and internal communication tools
  • Knowledge & Information Management
  • Support the management of online platforms (SharePoint, MS Teams, PMO automation) to ensure documentation is accurate, organised, and up to date
  • Maintain version-controlled documentation libraries
  • Respond to frequent internal inquiries related to processes, data, and tools
  • Training & Process Roll-Out
  • Support the deployment of new tools, templates, and processes across the team and wider business
  • Assist with stakeholder training and guidance for systems such as ERP, PMO automation, and reporting tools
  • Administrative & Operational Support
  • Provide day-to-day administrative support for Impact PMO team and related project activities
  • Complete simple but essential reports and documentation
  • Support general operational activities to maintain team efficiency
Experience
  • Experience working in an administrative or coordinator role
  • Experience supporting the coordination of reports
  • Experience with standard Microsoft packages to a high proficiency
  • Demonstrable experience in a PMO is desirable

Education / Qualifications
  • Educated to A level (or equivalent qualifications/professional experience)
  • PMO qualifications e.g. AXELOS P3O, desirable
  • Project management qualifications such as PRINCE2, APM or PMP (desirable)
