Overview

We're looking for an experienced Insurance Virtual Assistant to support our client, a well-established financial services firm based in Manchester, UK, with their day-to-day insurance operations. This role is ideal for someone with a background in UK insurance or financial services, who is confident managing back-office tasks, client communications, and policy administration remotely.

Key Responsibilities
  • Manage calendars, client communications, and task scheduling for insurance advisers
  • Support the onboarding process for new insurance clients
  • Maintain and update CRM records with accurate policy and contact data
  • Schedule client review calls and send pre/post-meeting documentation
  • Assist with preparing, submitting, and tracking new insurance applications
  • Liaise with UK insurance providers for quotes, follow-ups, and policy changes
  • Prepare renewal notices and ensure timely policy updates
  • Ensure all documentation complies with FCA and GDPR standards
  • Keep clients informed on key policy changes, premium adjustments, and renewal dates
  • Generate weekly/monthly reports on client pipeline, policy status, and renewal activity
  • Coordinate between insurance advisers, compliance officers, and third-party providers
Required Skills & Qualifications
  • Previous virtual assistant or admin experience in insurance or financial services
  • Familiarity with UK life insurance, critical illness, income protection, or general insurance
  • Experience with CRM tools (e.g., Salesforce, Acturis, HubSpot, or Intelliflo)
  • Excellent written and verbal communication skills in English
  • Strong attention to detail and the ability to work independently
