IFA Administrator / Financial Planning Administrator

Salary: £26,000 - £35,000
Hours: Full-time (37.5 hrs)
An excellent opportunity for an IFA Administrator to join a respected Financial Planning firm in Winnersh. You will provide high-quality administrative support to Financial Advisers, manage client communication, and coordinate financial planning reviews. This role is ideal for someone with existing Financial Services / Financial Planning experience who enjoys working closely with Advisers and delivering exceptional client service.
Key Responsibilities
- Respond promptly and professionally to client queries with clear, thorough communication.
- Record and maintain all written and electronic client communication accurately in Intelliflo (iO).
- Collect and verify client policy information and critical data in line with KYC requirements.
- Obtain policy details, quotes, illustrations, and product information.
- Manage new client onboarding from first contact through to fund investment.
- Process and submit new business efficiently to providers.
- Handle investment trades, fund switches, and occasionally peer review colleagues' fund switch instructions.
- Organise annual financial planning reviews on behalf of Financial Advisers.
- Prepare meeting documentation including product literature, illustrations, forms and agreements.
- Confidently send critical client data using DocuSign and other approved digital methods.
- Create, schedule and manage follow-up tasks for meetings, client requests and new submissions on iO.
- Adhere to internal processes and FCA compliance (AML, GDPR), ensuring confidentiality at all times.
- Contribute to personal development and support the wider Admin and Paraplanning team.
- Peer review colleague work where required (applications, correspondence, technical fund switches).
Experience & Skills
- Minimum 1 year Financial Services industry experience.
- Knowledge of investments, pensions and family wealth planning.
- Experience using iO preferred, but not essential.
- Exceptional accuracy and attention to detail.
- Strong IT ability, especially Microsoft Office (intermediate Excel).
- Understanding of Financial Adviser needs and FCA requirements.
