Job description
Overview

An exciting opportunity has arisen within the People Directorate team for a Recruitment Coordinator. You will support the team with all aspects of recruitment and you will be involved in a wide range of administrative duties.

You will need to be organised and able to utilise technology and administrative systems/processes to provide outstanding customer service in relation to all aspects of recruitment.

You will be focused on optimising experiences of our recruiting managers and candidates, proactively managing the candidates' journey, and utilising the Trust’s recruitment management system.

You will be part of the wider People Directorate, providing an efficient service, taking calls and resolving recruitment queries.

Role purpose

To contribute to the provision of a proactive, responsive and customer focused recruitment service. To administer & provide advice on the use of recruitment systems and processes & ensure new staff are appointed to the trust in an efficient and appropriate manner.

Responsibilities
  • To take ownership of a specified area and manage the entire recruitment process for all posts within that area. This will include uploading vacancies onto NHS Jobs & our applicant management system, checking job descriptions and adverts, preparing interview packs, liaising with both managers and candidates, preparing offer letters, undertaking pre-employment checks and the issuing of contracts, providing a comprehensive recruitment administrative service to the Trust.
  • Maintain a level of knowledge and understanding around current projects/initiatives applicable to the function of the Recruitment team in order to provide appropriate support and advice to managers and staff as necessary.
  • We are the main provider of NHS community services across East and West Sussex, with 6,000 staff serving 1.3 million people. We deliver essential care to adults and children, helping them manage their health, avoid hospital admissions, and reduce hospital stays.

Key tasks
  • Check all documents are completed accurately, ensuring the Advertisement Request Form is fully completed re: Appropriate finance approval/correct contract details/external funding approval if necessary/fixed term contract end date, including the reason why, and referring the form back to the appropriate manager if any section is incomplete.
  • Enter job vacancies on to the e-recruitment system, checking to ensure that the information is accurate.
  • Manage vacancies and applicants using ESR (Electronic Staff Records) and the e-Recruitment system, ensuring job descriptions and person specifications are processed and uploaded. Manage recruitment outside of e-Recruitment system as necessary.
  • To be conversant with the NHS Employment Check Standards and ensure pre-employment checks are carried out, including references, occupational health, DBS, Immigration and registration checks.
  • Demonstrate comprehensive knowledge of the requirements of the Disclosure and Barring service, including correct completion of the online disclosure application form and advising managers when DBS clearance is received.
  • Produce offer letters for new appointees to the Trust and Process new starter documentation by completing appointment details, assigning codes and ensuring paperwork is received appropriately.
  • Prepare and produce contracts of employment accurately with the checking and verification of relevant employment history.
  • Send out inter-authority transfers via ESR to request the verification of previous NHS continuous service dates, check details of service and ensure this is recorded accurately.
  • Effectively use and maintain the HR recruitment records including those held on ESR and on locally-held spreadsheets, ensuring up-to-date and high quality data; including induction data, DBS and Risk database checks.
  • Ensure all new staff members are booked into the Trusts induction.
  • Respond quickly and efficiently to telephone, email and post queries.
  • Action any additional paperwork for payroll where appropriate
