Job summary

A retail company is seeking an HR Operations Specialist to enhance operational efficiency across HR systems. This role involves managing the HRIS (Workday) and other associated systems, optimizing processes, and supporting the HR team. The ideal candidate should have strong HR expertise, experience with HRIS, and excellent analytical skills. This is an intern position, based in Greater London, with no remote work opportunities.

Job description

As the HR operations specialist you will provide an efficient and effective service to the wider business that focuses on the HR operational responsibilities associated with inbound requests system and data configuration data reporting and analytics end-user support of the HRIS system (Workday) Kainos T&A System (Quinyx) Service Now plus any associated HR and Payroll systems and integrations.

  • Supports the HR team to ensure an efficient and accurate administration delivery across our various internal systems.
  • Renews and optimises existing business processes and ways of working by providing innovative solutions.
  • Configuring Workday Quinyx Service Now Kainos and other HR associated systems to meet the future needs of the business.
  • Help to plan for and provide support for Workday feature releases and supporting other system releases to then partner with the Senior HR Coordinator/Team lead to ensure the business support team are fully trained.
  • Build custom reports and extract data requests.
  • Ad-hoc reports projects and any other duties that management may request.
  • Project lead on various system improvements together with key stakeholders from different parts of the business.
  • Manage support queries from employees and the HR team.
  • Ensure head office employees are set up on Workday and Quinyx.
  • Define right controls regarding change agenda and embed into business processes.
  • Drive and coordinate elimination of audit findings and risks in a timely manner in conjunction with respective teams on a global level.
  • Develop and deliver training to team members and end users on functionalities and new features.
  • Liaise with external individuals such as 3rd party providers (payroll & benefits)
Qualifications
  • HR Operations Expertise: Possess a strong background in HR operations with a successful history of workflow improvements and HRIS implementation ideally in retail.
  • HRIS Proficiency: Extensive experience with Workday or a similar HRIS.
  • Technical Skills: Advanced computer skills particularly in Microsoft Excel.
  • HR Knowledge: In-depth understanding of HR core processes systems and tools.
  • Project Management: Strong experience in project and change management.
  • Analytical Skills: Ability to interpret business requirements assess impact on business processes and make informed recommendations.
  • Communication: Clear articulate communication skills with attention to detail both written and verbal.
  • Organizational Skills: Excellent organizational abilities efficiency and a great sense of humor empathy and work ethic.
  • Feedback and Growth: Open to feedback with a focus on continuous improvement.
  • Relationship Building: Exceptional ability to build relationships and communicate at all levels both remotely and in person.
