About the job

Location: London (5 days per week in the office)

Reports to: Head of HR

Contract: Full-time, permanent

Flatpay is a fast-growth fintech that is officially a unicorn, with ambitious plans for continued expansion. We believe in keeping things simple for our customers and for our people. Our UK operations support Field Sales Representatives, Business Development Representatives, and Customer Support teams, and we are building a high-performing, scalable HR operation to support our next stage of growth.

We are now looking for an HR Operations Manager to work closely with the Head of HR and strengthen our HR function as we scale.

What you'll do

This is a hands‑on HR role focused on operational excellence. Working closely with the Head of HR you will manage core HR administration, maintain strong HR systems and support managers with people processes and employee relations.

We are looking for someone with HR experience, confident in HR administration and experienced in supporting ER matters in line with UK employment law.

Key Responsibilities

  • Manage the full employee lifecycle in Personio, including onboarding, changes and offboarding.
  • Maintain accurate employee records, contracts and documentation to ensure compliance with UK employment law.
  • Draft employment contracts, probation letters and other formal HR correspondence.
  • Oversee right‑to‑work checks, timekeeping compliance and audit‑ready personnel files.
  • Coordinate and prepare all monthly payroll changes, working closely with the Head of HR, Finance and our payroll provider (Payescape) to ensure submissions are accurate, timely and fully compliant.
  • Maintain and update HR policies, ensuring alignment with the UK Employee Handbook and consistency across the organisation.

Employee Relations

  • Support the Head of HR with day‑to‑day people matters, including performance, absence management, sickness and conduct concerns.
  • Assist with formal ER processes, including preparing documentation, drafting letters, note‑taking and ensuring ACAS‑compliant procedures.
  • Provide simple, clear guidance to managers on policies and people‑related decisions.

Process & Systems Improvement

  • Work with the Head of HR to streamline HR processes as the team scales, ensuring everything remains simple, efficient and compliant.
  • Support wider people projects including onboarding reviews, data reporting, policy updates and training materials.

General HR Support

  • Act as a first point of contact for employee queries across the UK team.
  • Prepare monthly HR reports, people data and insights for the Head of HR.
  • Ensure all HR communications are consistent, accurate and professional.
Who you are

Skills & Experience Required

  • HR experience in HR administration, HR operations or a similar role.
  • Strong understanding of UK employment law, particularly probation, sickness, performance management and disciplinary procedures.
  • Experience supporting or managing employee relations cases.
  • Confident using HRIS systems – experience with Personio is a strong advantage.
  • Excellent organisation, attention to detail and ability to handle confidential information.
  • Strong written communication skills with a calm, pragmatic and people‑focused approach.
  • Comfortable working in a fast‑paced, evolving environment.
