Job summary

A public service organization in Birmingham is seeking an HR & Training Administrator to support a diverse team in managing training activities and onboarding processes. Successful candidates will have GCSE qualifications in English and Mathematics, a CIPD Level 3 qualification, and experience in HR systems and customer service. Main duties of the job

Role Purpose:

To provide efficient HR and Training Administration to the Human Resource Team and the Early Years (EY), Training and Leadership Manager and support all stakeholders in line with Company standards, HR and Training policies and procedures, employment legislation and best practice.

To undertake instruction from the EY, Training, and Leadership Manager, all training administration activities to support in managing early years, Apprenticeships, Graduates, Leadership, and general training activities.

To assist with onboarding new recruits, assisting managers and provide support on the HR Team systems ensuring data integrity and security.

Training Administration

Mandatory Training, Performance, and Training

Statutory and Mandatory training: Monthly chasing and report preparation for to Managers and Board

Ensure Monthly probationary reviews completed on Work-Pal and report to Management and prepare statistics for Board Report

Ensure quarterly check-ins taking place on workpal and annual appraisals

General Training Administration

Monitor Training Inbox and maintain Training Calendar

Booking rooms, preparing packs & materials for events including stationery orders etc Room set up and clear down where required.

Purchasing: New Supplier set up/ Requisitions and PO's, CC payments for courses, Maintain Supplier list

Update Intranet and SharePoint administration

Supporting Training matrix creation and group upskilling projects

Regular ad hoc reporting and chasing when required

Functional Skills booking for organisation.

Internal and External Training Courses

Follow process for delegate management including Joining instructions monitoring attendance acceptance, preparing and processing 0registers and certificates etc

Update training matrix and LMSworkpalal/ESR)

OnBase filing of Certificates

Ensure booking & payment documentation is filed centrally,

Chasing certificates & confirmation of attendance for external programmes

First pass external training course & provider investigation with guidance from Content/Training ExpertOther:

Responsible for confidential information and for determining whether or not this information can be shared, escalating when necessary.

Provide information, both verbal and written, as requested from outside bodies.

Qualifications
  • oGCSE A-C (or equivalent) in English and Mathematics
  • Hold A CIPD Level 3 Qualification or Administration Apprenticeship qualification
Knowledge and Experience
  • oGCSE A-C (or equivalent) in English and Mathematics oAdministration experience within a busy customer reactive environment that uses multiple IT systems. oExperience of administrating end to end recruitment process oExperience in utilising Recruitment, HR and Learning systems oExperience of producing HR Management Analytics, oExperience of providing first line HR advice to Supervisors and Managers oSignificant experience of operating within customer service field high quality customer care oWell-developed IT skills (intermediate level) in Microsoft Office 365 applications
  • Experience of using ATS (TRAC or similar), LMS (Learning Management systems) HRIS (ESR or other HR software systems) HR Experience commensurate with a senior administrator within this sector (i.e. completes a range of activities from JD already) Experience with content creation platforms such as Canva,
