The Role

To provide a comprehensive HR administration and support service to the business ensuring compliance with employment law and good HR practice. Provide advice and guidance on application of HR and Business policies and procedures. Ensure HR records and associated information are maintained as accurate and up to date. Produce HR related information and reports as directed.

This role provides HR advice, guidance and associated administrative support for the MBAe Newton Abbot site.

Responsible for maintaining accurate and up to date HR records utilising HR systems and processes as appropriate. Issues employment contracts and signs‑off changes to pay and grading in accordance with relevant approval processes and procedures.

Is a visible ambassador for the Company within the HR Function and helps to build its reputation by promoting proper application of Company policies and procedures, HR best practice and compliance with employment law.

Key Responsibilities
  • To undertake all HR related administrative activities in accordance with Company policies, procedures and employment law.
  • Support talent acquisition processes; actively involved in recruitment and onboarding processes.
  • Conduct new employee orientations to ensure employees gain an understanding of Company programs, procedures, and policies.
  • Maintain Employment Contracts as relevant to business requirements and in accordance with employment law. Issue and amend contracts as appropriate. Check and sign‑off changes to pay and grading on an individual basis ensuring the relevant authorities have been obtained and proper processes followed.
  • Ensure that all HR records are maintained and kept up to date, by inputting, amending and removing data and information as appropriate. Undertake regular reviews and audits to check accuracy of HR data.
  • Monitor and report sickness absence levels across the business identifying adverse trends and recommending appropriate action. Ensure Line Managers and Supervisors are aware of individuals with excessive sickness absence and that they deal with them in an appropriate and timely manner in accordance with Company Policies & Procedures having due regard to Disability Discrimination issues. Provide advice and guidance as appropriate.
  • Ensure all employee leaver processes and procedures, including redundancies, are carried out in a timely manner.
  • Monitor HR related information and produce reports using word, excel and other HR information systems as appropriate. Investigate and report any anomalies or breach of Company policies/employment law to the Regional HR Director in a timely manner.
  • Provide advice and guidance across the business in the proper application of HR related company policies and procedures; employment law and Local Union Agreements. Particularly in relation to Equality, Diversity, Redundancy, Disciplinary, Capability and Grievance Procedures.
  • Production of letters, reports and other correspondence in order to fulfil the requirements of the role and as directed by the Regional HR Director. Act as note taker/secretary at HR meetings, Disciplinary, Grievance and Capability meetings etc. as required.
Job Requirements
  • Excellent administrative skills, proficient in the use of Microsoft, word, excel & PowerPoint.
  • Excellent communication skills with proven ability to influence at all levels of the organisation.
  • Must be accurate, methodical and have excellent organisational skills with the ability to prioritise effectively and work under pressure without losing focus.
  • Must be able to demonstrate a good knowledge of HR best practice and employment law.
  • A member of CIPD or working toward membership is desirable.
