Job Description

Unfortunately, we are unable to offer visa sponsorship for this role. The purpose of the role is to provide first class administration and HR system support to the business in relation to supporting the HR team looking after employees across the business. Support includes looking after key paperwork and processes relevant from the start of the employee life cycle through to an employee leaving the business. Please note this is a fixed term contract with an expected end date of January 2027. This is a hybrid role working 3 days onsite in Wolverhampton, Monday to Friday, 09:00 till 17:00.

  • Support & complete the HR administration processes for new starters.
  • Track response of reference checks and follow up outstanding requests to ensure the highest level of response is received.
  • Ensuring all right to work documents are verified and uploaded to HR system, providing advice to managers and employees as necessary.
  • Set up employee files in the correct Eurofins entity, ensuring that all paperwork is filed in the correct employee file prior to start date.
  • Ensure electronic and paper based personnel files are maintained and filing/archiving is completed in a timely manner.
  • Support the administration for employees with changes to job role.
  • Support the administration correspondence requirements during TUPE transfers, redundancies and acquisitions.
  • Support the administration processes for maternity, paternity, adoption, shared parental leave and parental leave, etc.
  • Updating of holiday including any exceptional holiday carry forwards approved and any changes through holiday buy and holiday sell schemes.
  • Support the administration process for leavers and ensure leaving actions for employees are completed on the relevant HR & IT system.
  • Maintain and update HR spreadsheets to track key actions (such as starters/leavers/visas/maternity/paternity trackers).
  • Support the HR Business Partner team with the annual PDR/Appraisal process for allocated sites.
  • Monitor the HR inbox, ensuring that allocated actions are responded to and completed in an accurate and timely manner.
  • Advise managers and employees on HR System queries ensuring a sound knowledge of the system.
  • To complete absence management reporting processes for allocated sites, monitoring absence levels, identifying concerning absence patterns and notifying line managers when absence triggers are met.
  • Support in processing monthly expenses for the HR Director and UK & Ireland Board Directors with Company Credit cards as needed.
  • Coordinate monthly recharges needed, relating to expenses, sponsorship or POs raised against the HR budget.
  • General Administration support to HR Director and Managing Director.
  • Organise key events such as conferences, FECE meetings, Strategy days as required by directors.
  • To support the HR team with project work as and when required.
  • Book meeting rooms for meetings and arrange any travel / accommodation required for the UK & Ireland board related to senior meetings.
  • Note typing for HR related meetings.
  • Raise purchase orders and process invoices for HR activity.
  • To undertake other activities identified from time to time commensurate with the level of the post.
Qualifications
  • Experience working within a busy HR department is desirable.
  • Experience working in a busy administration role.
  • Confident in interacting with managers and employees at all levels.
  • Good word / excel / outlook / PowerPoint skills.
  • Good keyboard / typing skills / data entry skills.
  • Excellent verbal and written communication skills.
  • Organised, able to plan ahead and meet deadlines / objectives.
  • Able to work with multiple systems and processes.
  • High level of accuracy and attention to detail.
  • Educated to GCSE level in Maths and English, or equivalent.
  • Ability to work in a team, as well as independently to complete own work.
  • Able to prioritise work.
  • Customer service driven.
  • Flexible approach to work and start / finish time where required.
  • Trustworthy and capable of keeping confidential information confidential.
