We're recruiting an experienced HR Administrator who is friendly, adaptable and can confidently manage general administrative duties for Chartwells on a part time basis, contracted to 25 hours per week. You'll be responsible for ensuring our offices run smoothly and efficiently and will be given every opportunity to progress within a company that invests in its people, celebrates individuality, and rewards and recognises employees who go beyond the plate.

Working hours: Monday to Friday, 9.30am - 2.30pm.

Please note: This role is a 12-month secondment cover.

Purpose of the Role

To provide proactive, confidential and professional HR administrative support across the school, ensuring compliance with Compass Group UK&I and Lodestone House standards. The HR Administrator plays a key role in creating a positive colleague experience, supporting recruitment, onboarding, compliance and engagement activities that reflect our Lodestone House values and pillars.

Key Responsibilities
  1. People Administration & Records
    • Maintain accurate and confidential colleague records in line with GDPR and Compass Group policy.
    • Ensure all employment documentation (right to work, references, DBS, contracts) is complete and filed prior to start date.
    • Update HR systems and trackers (such as One Compass and SAP/HRIS) in a timely and accurate manner.
    • Support payroll accuracy by ensuring data changes, absences and new starter information are processed on time.
  2. Recruitment & Onboarding
    • Support end-to-end recruitment administration - advertising roles, coordinating interviews, and preparing offer letters and contracts.
    • Deliver a professional onboarding experience for all new colleagues, ensuring they feel part of the Lodestone House family from day one.
    • Coordinate induction sessions and training attendance with school managers.
  3. Employee Engagement & Development
    • Support the delivery of engagement initiatives, recognition programmes, and wellbeing activities in line with Lodestone House values.
    • Assist with administration of training records, mandatory learning completion, and development programmes.
    • Act as an ambassador for our “Preferred Employer” pillar – helping to foster a positive and inclusive culture.
  4. Compliance, Safeguarding & Health & Safety
    • Ensure full compliance with safeguarding requirements, including DBS renewals and safer recruitment checks.
    • Maintain up-to-date employee documentation in line with audit standards and the school’s safeguarding policy.
    • Support local health & safety administration – training records, accident reporting, and audit preparation.
  5. Communication & Team Support
    • Be a trusted point of contact for HR queries, providing accurate advice or escalating as appropriate.
    • Support the wider operational team and Head Office HR when required, contributing to continuous improvement initiatives.
    • Promote and live the Lodestone House values – Excellence, Care, Integrity and Teamwork.
  6. Measures of Success
    • 100% compliance on colleague documentation and safeguarding audits.
    • HR data maintained accurately and up-to-date at all times.
    • New starter onboarding completed within agreed timelines.
    • Payroll and HR queries resolved promptly and professionally.
    • Positive feedback from school leadership and colleagues on HR support.
Knowledge, Skills & Experience

Essential:

  • Strong administrative skills with attention to detail and confidentiality.
  • Excellent interpersonal and communication skills.
  • Experience using HR systems (e.g. SAP, PeopleSoft, or similar).
  • Good knowledge of Microsoft Office (Word, Excel, Outlook).
  • Understanding of GDPR and right-to-work requirements.
  • Organised and able to prioritise workload in a fast-paced environment.

Desirable:

  • Previous HR or recruitment experience in a multi-site or education environment.
  • Awareness of safeguarding in schools or regulated environments.
  • CIPD Level 3 (or working towards) preferred.
