JOB TITLE : Head of Provost Office

REPORTS TO TITLE : Provost

BUSINESS FUNCTION / SUB-FUNCTION : Academic

LOCATION : Any GBS UK campus

SALARY RANGE : 65,000-75,000

ROLE PURPOSE :

Reporting to the Provost, the postholder will ensure the effective and efficient running of the Provosts Office and faculties. Working collaboratively with colleagues across both academic and professional departments, and with partner universities, you will be responsible in collating and interpreting academic performance data to help inform effective decision‑making and effective academic management. The postholder shall take the lead to ensure effective academic planning processes are in place, including developing long‑term academic calendars, staff and other resource planning. The Head of the Provost Office shall manage the day‑to‑day operations of the Provost Office, including line management of staff.

ROLE and RESPONSIBILITIES :
  • Provide leadership and day‑to‑day management of the Provosts Office in line with the strategic objectives.
  • Ensure that appropriate management and administrative systems are in place, which enable the effective flow of information between the Provosts Office and other academic and professional units within GBS.
  • Work with the Dean of Studies and other senior academic and professional colleagues to oversee the implementation of strategic action plans.
  • Maintain the academic risk register and annual operational plans.
  • Manage the various academic planning processes, liaising with academic and professional units, and with partner universities as necessary.
  • Manage projects under the direction of the Provost; scope the requirements of specific projects and manage their delivery to agree timelines.
  • Collate and analyses academic and related performance data, and to provide such reports as may be required periodically, or on an ad hoc basis, to facilitate effective decision making and tracking of performance.
  • Provide briefing materials for the Provost and senior academic colleagues in advance of meetings with both internal and external stakeholders.
  • Attend meetings and prepare notes / action plans as necessary in order to represent the Provosts views / position, and to provide timely and accurate information on evolving projects to the Provost and other senior colleagues across the organisation.
  • Maintain close liaison with senior staff across the organisation and with counterparts at partner universities.
  • Undertake such other duties and responsibilities, commensurate with the level of the appointment, as may be form time‑to‑time required.
ESSENTIAL SKILLS and EXPERIENCE :
  • Be educated to at least degree level or able to demonstrate success at an equivalent level professionally.
  • Demonstrable experience of leading teams in the successful delivery of projects.
  • Highly numerate with the proven ability to collate, understand, interpret, explain and summarise complex information, and to formulate recommendations based on that information.
  • Demonstrate high degree of confidentiality.
  • Have a passion for education as a transformative activity.
  • Have experience of, and a passion for, working in widening access environments.
  • Demonstrate high levels of attention to detail and accurate reporting and have the proven ability to redraft reports based on critical self‑reflection and feedback from others.
  • Ability to analyse and interpret data to guide decisions and identify actionable insights.
  • Be able to maintain thorough and organised records.
  • Be able to work under pressure, plan and prioritise own workload to meet tight deadlines.
  • Be highly motivated and able to work with minimum supervision.
  • Exhibit excellent communication skills, including to influence others without having direct line management authority.
  • Be able to work with diverse groups of people in person and virtually.
KEY RESULT AREAS :
  • Develop robust standard operating processes for the Provosts Office.
  • Prepare and manage quarterly project related Action Plans.
  • Maintain the academic risk register.
  • Maintain close liaison with senior staff and counterparts across the organisation as required.
