Job description

The Head of Bookkeeping is responsible for overseeing the day-to-day financial administration of the business, ensuring accurate processing, reporting, compliance, and financial control across all areas of the organisation.

Key responsibilities include managing all banking activities, including downloading and reconciling bank transactions, updating Sage and supporting cashflow reporting. The role oversees supplier, payroll, proforma and ad hoc payments, ensuring appropriate authorisation processes are followed and maintaining supporting documentation. Responsibilities also include setting up direct debits, standing orders, supplier credit accounts and currency transfers where required.

The position manages the purchase ledger function, including processing supplier invoices, matching documentation, resolving queries and disputes, maintaining purchase orders and supporting stock replenishment activities. All invoices must be reviewed to ensure correct approvals, quotations, purchase order authorisation, proof of delivery and supporting documentation are in place before posting.

Responsible for monitoring daily profit and loss reports, investigating anomalies and escalating concerns where necessary. Month-end duties include completing all finance close activities, producing reports, internal management teams and group finance functions.

Additional responsibilities include supporting the payroll process by reconciling employee hours, coordinating submissions with the external payroll provider, obtaining management approvals, setting up wage payments and maintaining payroll records.

The role also maintains cashflow forecasts, monitoring payment commitments and highlighting potential shortfalls. Responsibility extends to maintaining employee records, processing holiday documentation and ensuring HR records are managed in compliance with GDPR requirements.

Plays a key role in the annual budgeting process, working closely with management teams and group finance to develop, finalise and submit budgets within agreed deadlines. Audit support is also required, including coordinating information requests, maintaining accurate records and acting as a key contact for external auditors.

In addition, the role maintains the Fixed Asset Register, performs regular reconciliations against financial systems, records capital investments and resolves discrepancies before month-end close. The position requires strong attention to detail, financial accuracy, organisational skills and the ability to build effective relationships across the business and with external stakeholders.
