Job summary

Park Hyatt London River Thames is seeking a proactive Groups & Events Coordinator to manage the Events office, coordinate proposals, contracts and client communications, and ensure flawless logistics for a range of corporate and social events.

You will liaise with clients, vendors and internal teams to deliver exceptional service, maintain accurate records, and support presentations and reporting in a luxury hospitality environment.

Qualifications

  • Proven administrative experience in hotel operations or guest services.
  • Strong interpersonal and organisational skills.
  • Ability to prioritise, multitask and collaborate with stakeholders.

Responsibilities

  • Oversee the daily operations of the Events office, addressing inquiries via phone, email and booking platforms.
  • Prepare and distribute events sales-related materials including proposals, contracts and invoices as well as banquet event orders for the operational teams.
  • Update client appointment notes and follow-up actions.
  • Maintain an organised records of event sales activities, client communications, and booking details.
  • Coordinate invitations and responses for showcases, presentations, and promotional events.
  • Liaise with clients, vendors, and stakeholders to ensure seamless event logistics.
  • Assist in preparing presentations and reports.

Duties and responsibilities related to the Groups & Events Coordinator role
  • Oversee the daily operations of the Events office, promptly addressing inquiries via phone, email and booking platforms
  • Prepare and distribute events sales-related materials including proposals, contracts and invoices as well as banquet event orders for the operational teams

About You

Administrative experience or roles in hotel operations and guest services is advantageous. You will have excellent interpersonal and organisational skills with the ability to prioritise, multitask and work in collaboration with various stakeholders.
