Job description
Overview

Post holder will support Executive Directors at Executive Team level. A highly motivated, efficient and personable Executive Assistant is required to provide comprehensive, professional support as part of a dedicated team.

Key Responsibilities
  • Develop a thorough understanding of the Executive Team’s priorities, working methods and how these fit into the overarching Group strategy, and represent them effectively to stakeholders.
  • Maintain oversight of the Executive Directors’ workload and diary, ensuring optimal use of their time and resolving issues independently.
  • Manage the Executive Directors’ inbox, prioritise workload, highlight urgent items, respond to requests, consult and delegate to other staff as appropriate.
  • Create and maintain project and action trackers, update Executive Directors on progress against key projects and drive these forward in collaboration with relevant teams.
  • Work collaboratively to establish and maintain good relationships across the Trust and with key external stakeholders.
  • Prepare background research, briefings, presentations and documents for Executive‑level meetings.
  • Manage the diary of the Executive Director(s) efficiently and timely, plan ahead, respond to short‑notice changes and protect their time.
  • Arrange, administer and take formal minutes of the Executive Director(s) Office meetings and other meetings chaired by them.
  • Ensure that appraisals and mandatory training have been undertaken by Directorate members and line managers, and that compliance gaps are addressed.
  • Log and process post and emails for the Executive Director(s), responding on their behalf, drafting responses for signature and directing mail to appropriate Trust staff and departments.
  • Analyse and assess daily business events, using knowledge of the Executive Director(s) business activities to take appropriate, considered action.
  • Implement policy and procedures within the Executive Director(s) office and wider support team.
  • Coordinate activities of the Executive Director(s) team to ensure essential tasks are completed timely, avoiding duplication of effort.
Qualifications and Requirements
  • Highly experienced PA/EA with proven diary management, minute‑taking and excellent Microsoft Office skills.
  • Strong organisational skills, initiative, and the ability to plan workload independently.
  • Professional, polite, and friendly outlook with strong interpersonal and diplomatic skills.
  • Discretion and diplomacy essential; only those with the above qualities and relevant experience will be considered.
Working Environment
  • Positions available across South Tees Hospitals NHS Foundation Trust and North Tees and Hartlepool NHS Foundation Trust – employees may be required to work at any site across both Trusts.
