We are seeking to recruit a motivated, committed and enthusiastic full time GP Receptionist to join our dynamic team at The Westbourne Green Surgery and The Connaught Square Practice.

The GP Receptionist is responsible for welcoming, assisting and directing patients inaccessing the appropriate service or healthcare professional in a courteous,efficient and effective way. He/she willalso provide general assistance to the Practice team and is expected to projecta positive and friendly image to patients and other visitors at all times.

Main duties of the job

We are looking for someone to join our Front of House team full time, someone with proven customer service experience, who can provide a warm and welcoming service to our patients, who works well under pressure and can adapt quickly in a new team.

This role does not come without its challenges but support is always at hand and you will be provided with on the job training when you join the team.

Job responsibilities

As a GP Receptionist you will provide a professional and patient focused service toour GPs and all patients attending our practice.

Dutiesand Responsibilities:

  • Dealing withpatient queries
  • Booking,cancelling and amending appointments on SystmOne
  • Monitoringthe flow of patients into the waiting room, ensuring the appointmentsystem accurately reflects the arrival of patients
  • Using judgementand communication skills to ensure that patients with no prior appointmentbut needing urgent consultation are seen in a logical and non-disruptivemanner
  • ExplainingPractice arrangements and formal requirements to new patients and thoseseeking temporary cover and ensuring procedures are completed
  • Answering thetelephone promptly and conveying messages in a timely manner
  • Maintaining a logof telephone messages
  • Sorting the mailand posting letters
  • Recordingadmin-related events in SystmOne
  • Scanning patientcorrespondence and other papers into the patient record in SystmOne
  • Charging patientsthe appropriate amount for private work, providing a receipt to thepatient and recording the charge on their record
  • Recording incomingmedical forms and requests for To Whom It May Concern letters in theform-tracking book
  • Accepting requestsfor repeat prescriptions, checking the inbox and prescription box forrepeat prescription requests, and processing them in a timely manner
  • Monitoring repeatprescription requests to ensure that patients attend the surgery formedication reviews and other health checks
  • Alerting the PracticeManager or Senior Partner to any complaints or potentially problems
  • Opening up thePractice in the morning and closing it in the evening according to agreedprocedures
  • Meeting targetsthat are set by the Practice Manager
  • Other ad hoc tasksas required
Person Specification
Experience
  • Excellent interpersonal and customer care skills
  • Possess the ability to work under pressure and have strong organisational skills
  • Interest in working with people and in service of patients
  • Ability to work independently and have self-motivation
  • Solution-oriented
  • Good command of the English language, both spoken and written
  • At least 1-2 years' Receptionist / Customer Service / Administration experience in a similar environment, though training will be provided
