Moulton Surgery is a NHS general practice that has been in existence for over 100 years. Our aim is to provide a traditional style of personal, accessible, family medical practice delivering high quality evidenced based care in an environment that encourages innovation. We have a strong team to provide this.

We are looking to recruit a flexible, self-motivated and hardworking person to join our busy administration department and provide extra duties as a Team Leader, working 37 hours (full time) Mon-Fri.

To support the Senior Management Team to ensure the delivery of high-qualityadministration in primary care through the effective organisation and deliveryof services.

To work in collaboration with other members of the Management Team toenable the Practice to meet its agreed aims and objectives within a profitable,efficient, safe, and effective working environment.

To be responsible for the leadership for alloperational functions delivered by the administration team. To act as a role model, demonstrating andpromoting the standards expected by the practice and creating the energy andenthusiasm for the service.

Main duties of the job

Main Responsibilities

  • Undertake administrative tasks in conjunction with the other members of the administration team
  • To line manage the practice administration team
  • General maintenance of IT within the Practice
  • Ensuring that Clarity Team Net/compliance documents are updated and actioned
  • To assist the Deputy Practice Manager with delivering Qof.
  • To flexibly assist the Partners and Practice Manager with project based administrative work.
  • Research admin to ensure practice RSI scheme targets are met and studies are completed
  • Manage safety alerts for the practice sharing information, actioning alerts and recording appropriately
  • Inviting and recalling patients for eligible health checks and routine checks
  • Daily S1 rota monitoring with Reception Team Leader to ensure service is not compromised

GP Administration

Daily Maintenance and processing of computer links/tasks/transactions with applicable Registration Department and Hospitals.

Maternity Service administration.

Patient registrations, Temporary Residents, Immediate and Necessary

Changes of address

Deductions

Processing electronic correspondence ie OOH reports and hospital correspondence and other SystmOne tasks.

Cervical cytology administration including prior notification lists, quarterly targets and audits.

Taking telephone calls and answering queries via Anima.

Typing and administration, to include invoicing of private work ie medical reports, solicitors requests.

Human Resources

  • To line manage all staff working within the practice administration team ensuring the efficient workflow of the team and all processes responsible for.
  • Coordinating the provision of administration staff ensuring sufficient cover is provided for periods of leave and other staff absences. Ensure contingency plans are in place for all leave, including unforeseen absence.
  • Undertake the annual performance review of the administration team including identifying training and development needs.
  • To take responsibility for new staff including their induction, training and ongoing development.
  • To ensure line managed staff understands practice objectives and their role in helping to achieve them.
  • To promote teamwork and co-operation to encourage motivation and commitment.
  • In partnership with the Practice Manager to actively manage staff performance concerns.

IT

  • To provide IT support to ensure effective IT working throughout the practice.
  • To provide first line support for general internal IT issues.
  • Have a working knowledge of all IT, and telephone systems, and manage issues, arranging and supervising repairs as necessary.

Duties may be varied from time to time under the direction of the Practice Manager, dependant on current and evolving practice workload and staffing levels.
