Job summary

A leading facilities management company is seeking an FM Coordinator to manage scheduling and administration. Key responsibilities include coordinating contract management, ensuring maintenance tasks are completed, and providing excellent customer service. The ideal candidate will have experience in a facilities maintenance environment and strong IT skills. This is a full-time office-based role in Westhill, Scotland.

Qualifications

  • Experience in Facilities Maintenance or Social Housing is highly preferred.
  • Previous customer-facing roles such as Administration or Project Management.
  • Ability to work under tight deadlines.

About The Role

Main Purpose:

The FM Coordinator is responsible for the coordination, scheduling and administration functions, and will manage incoming calls, workforce planning and reactive maintenance.

Reporting to the Contract Manager, this role works as part of the Contract Management Team.

Duties & Responsibilities
  • Work closely with the contract management team, other FES stakeholders and lead on all aspects of the contract administration and scheduling function.
  • Manage end to end processes for all contract reactive works and associated workflows, to ensure successful and compliant delivery.
  • Prioritise and implement emergency reactive responses and associated contract escalation.
  • Ensure planned maintenance tasks are planned and scheduled in accordance with FM Standards.
  • Achieve the teams agreed performance targets and objectives.
  • Direct line management of FM Scheduler.
  • Maintain maintenance and reactive records.
  • Cover the duties of the FM Scheduler during absence.
Skills & Knowledge
  • Experience in a Hard Services, Facilities Maintenance or Social Housing delivery environment (highly preferred).
  • Previous experience in a customer facing role (Customer Services, Administration, PA, Project Management).
  • Excellent customer service skills.
  • Excellent computer/IT skills – Excel, Word, PowerPoint and Outlook.
  • Excellent communication skills.
  • Demonstrable ability of working to tight deadlines and multi-tasking.
  • Excellent attention to detail.
  • Process orientated with a continuous improvement mindset.
  • Ability to work in a fast-paced environment, and make effective decisions quickly.
Work Schedule
  • Monday-Friday, 08:00-17:00
  • 40 hours per week
  • Office based
