Fleet Support Officer

7 months contract

£13.69 per hour, 37 hours per week

Job Purpose

To provide administrative and clerical support to Fleet and Vehicle Workshops displaying excellent levels of customer service. To include the carrying out of basic administrative processes to effectively support the operational front line and external clients. Post holders will be in regular contact with operational teams, Service Users (business and residents), Senior Management, Peer Professional Officers, Partner Organisations.

Key Duties and Responsibilities
  • To provide day to day reception administrative support to Fleet and Vehicle Workshops including the maintenance of both paper and electronic records and filing systems.
  • To provide a courteous customer focused approach to Fleet Reception through a range of channels including face to face, telephone, email and site entry systems.
  • Carry out general administrative systems duties including but not limited to using Agresso, MS Office applications, specialised software packages such as Assetworks and MIDAS insurance database to maintain up to date and accurate departmental data.
  • To act as a central point of contact for the end to end administration of basic processes including but not limited to MOT tests, DVLA / DVSA processes including vehicle taxation renewals, vehicle quotations, hire, disposals and tyre repairs including reservations, communications and data processing.
  • To collate and process manual and computerised information in accordance with approved procedures and as required by the Fleet Management Team.
  • To input and update information stored within appropriate systems and databases.
  • To assist in the processing of data and management information including raising of purchase orders and running reports from information systems.
  • To work on own initiative as well as following designated standard operating procedures for Fleet and Vehicle Workshops.
  • Taking and processing departmental payments for and not limited to MOT tests, vehicle service and repairs.
  • To ensure that electronic payments are processed and returns are completed as required.
  • To accept and return vehicles and keys including fleet and hire vehicles and to carry out visual vehicle checks and associated administration, according to standard operating procedures and processes.
  • Issue departmental documents to internal and external customers under the direction of the Fleet Management Team.
  • To scan and file all departmental paperwork as directed.
  • To carry out weekly fire alarm tests under guidance of fleet management team.
  • To provide site access for authorised visitors as required and be the first point of contact.
  • To order fuel for the sites and process fuel cards as directed by fleet management team.
  • Undertake any other duties commensurate to the level and nature of the post.
  • To undertake such duties as may be commensurate with the seniority of the post.
  • To ensure that the corporate Health & Safety policy is followed and training is undertaken in all pertinent health and safety procedures.
  • To treat all information gathered for the Directorate, either electronically or manually, in a confidential manner.
