Job Description
General / Position Summary

The International Fleet Operations, Associate Director is responsible for developing, driving, and optimizing the strategic direction and governance of the International Fleet automobile program. This critical role will build and lead impactful strategic initiatives and act as the vendor manager for the International Fleet vendor, optimizing vendor performance, driving operational efficiencies, monitoring adherence to policies, and developing strong program controls to drive behaviors and policy compliance. The role will require significant cross‑functional collaboration to identify, build, and develop process efficiencies across multiple international locations. Exceptional communication, collaboration, complex scenario planning and stakeholder management across all levels of the organization will be vital.

Key Duties & Responsibilities
  • Drive the International Fleet strategy, governance and operations across all International markets.
  • Responsible for driving supplier relationships, acting as the vendor manager and liaison between internal teams and external vendor. Ensure vendor operational performance goals are met, and service level agreements are maintained.
  • Govern the International Fleet policy, monitoring compliance and proactively reviewing and suggesting policy recommendations as the business evolves. Responsible for managing fuel card usage and compliance.
  • Responsible and accountable for day‑to‑day operations and administration across all countries within international including but not limited to managing fuel card usage and compliance, ensuring maintenance schedules are followed, repairs are conducted appropriately, leases are reviewed and updated accordingly.
  • Monitor vendor performance regularly and compliance through strategic data analysis. Review & propose vendor‑specific process changes and ensure adequate management and mitigation of risk arising from vendors.
  • Drive vendor partnership & negotiations, exceptional customer service, cost savings, enhanced value and reduced environmental impact where possible.
  • Proactively address customer inquiries and leverage feedback to drive efficiencies to streamline program.
  • Drive cross‑function alignment and business partnership with Total Rewards/Benefits teams to align on principles and a consistent approach for Intl Fleet ops including eligibility and benchmarking process. In partnership with Total Rewards, manage vehicle choice & pricing per country.
  • Drive exceptional cross‑functional collaboration, process efficiencies and policy alignment between International HR, Payroll & Tax and other critical stakeholders including Regional Vice Presidents and Country Managers.
  • Partner with Strategic Sourcing to conduct quarterly business reviews to maximize service delivery and ensure KPI's and SLA's are measured and reported.
  • Responsible for reviewing and approving monthly invoices to ensure alignment with vehicle lease amounts.
  • Ability to manage and forecast operational budget, delivering reporting to Sr. Leadership & Finance business partners.
  • Proactively anticipate business needs and address them by taking an innovative approach to developing processes and tools, to strengthen the program and enhance the customer service experience.
  • Drive refinement and establish scalable & centralized processes. Ensure compliance with country regulations as these evolve and manage the change management processes.
  • Responsible for maintaining comprehensive reporting. Identify, analyze, and interpret data trends and patterns and prepare ongoing reports and data visualizations to support decision-making.
  • Responsible for managing Internal Audit Team requests and addressing audit observations as needed.
  • Design & implement key training materials to support the International Fleet operations process to enhance compliance to the policy.
  • Manage additional special projects and enterprise‑wide initiatives, supporting the wider Corporate Services Team to drive continuous improvement.
Required Education Level

Bachelor's degree in relevant discipline

Required Experience
  • Typically requires 8+ years of experience related to Corporate Fleet or the equivalent combination of education and experience.
  • Previous project management and vendor management required.
  • Experience working in a global corporate environment, partnering across multiple countries, within biotech or comparable regulated industry.
Required Knowledge/Skills
  • Proven experience leading and managing a Fleet vendor across multiple countries.
  • Robust analytical skills including experience with integration of multiple data sources.
  • Exhibit advanced analytical acumen identifying innovative insights that streamline processes and mitigate complexities across multi‑functional, global teams.
  • Advanced in senior leader presentations (written, PowerPoint, verbal), ability to use data‑driven insights to address business needs and challenges.
  • Advanced negotiation and influencing skills, ability to develop impactful business cases and present persuasive ideas to drive alignment and impact change.
  • Champion in customer service attitude enabling a highly collaborative environment toward internal and external vendors.
  • Ability to lead and drive change in a developing business environment and coordinate processes involving cross‑functional teams, complex systems, & tight deadlines across multiple time zones.
  • Ability to forecast and manage an annual budget including projecting for workforce resources.
  • Proficient in Microsoft Office suite (Excel and PowerPoint)
  • Supplier vendor management experience
  • Ability to navigate and champion company policies and compliance regulations.
Other Requirements
  • Prior working experience & accountability of PowerBi dashboards.
