A leading engineering firm is seeking an Administrative Assistant to manage purchase requisitions and collaborate with internal teams. The ideal candidate has 1-2 years' administrative experience, strong attention to detail, and proficiency in Microsoft Office. Qualifications

  • Excellent interpersonal and communication skills, with the ability to liaise effectively with external suppliers and internal teams.
  • Self-motivated, adaptable, and able to work efficiently under pressure and to tight deadlines.
  • GCSEs (or equivalent) – Grade 4 (C) or above in English and Maths.

Responsibilities

  • Process Purchase Requisitions for Fleet and Project-related requirements.
  • Ensure requisitions are raised correctly reflecting accurate pricing.
  • Collaborate with the Accounts team to resolve invoice queries.
  • Act as a liaison between internal departments and the supply base.
  • Provide general administrative support as required.
  • Undertake any other relevant tasks or responsibilities as assigned by the company to support operational needs.

Job description

The ideal candidate will have 1–2 years’ administrative experience, ideally within a procurement or project-based environment, with experience processing purchase requisitions accurately and efficiently. They should demonstrate strong attention to detail, confidence liaising with suppliers and internal teams, and the ability to resolve invoice queries with accounts. Proficiency in Outlook, Word, and Excel is essential, experience of using a purchasing / procurement system for raising purchase requestions along with strong organisational skills, a proactive mindset, and the ability to work effectively under pressure in a fast‑paced operational environment.

  • Process Purchase Requisitions for Fleet and Project-related requirements in a timely and accurate manner.
  • Ensure requisitions are raised correctly, reflecting accurate pricing, quantities, delivery locations, timelines, and all agreed terms and conditions.
  • Collaborate with the Accounts team to resolve invoice queries promptly and efficiently.
  • Act as a liaison between internal departments and the supply base to monitor, expedite, and coordinate timely deliveries.
  • Provide general administrative support, including the preparation of reports and documentation as required.
  • Undertake any other relevant tasks or responsibilities as assigned by the company to support operational needs.

Location

This role is based in the Washington, UK office and follows a hybrid working arrangement, with working 3 days in the office and the other 2 days working remotely.
