Job summary

Forrest Recruitment is seeking an Office Assistant for a Salford Quays-based, part-time role to support the Office, Finance and HR teams within a large international group operating across the UK and Ireland.

You will handle expense claims, travel coordination, inbox management and general administrative tasks, ensuring accuracy, confidentiality and a proactive service approach.

Qualifications

Responsibilities

  • Support expense claim preparation and submission following policy.

  • Coordinate travel arrangements within policy and budget.

Office Assistant, Salford Quays Part-time £26,000 £29,000 pro-rata (DOE)
hours per week Monday to Friday

Working within a well-established international organisation, our client is looking for an Office Assistant to provide reliable day-to-day administrative support to the Office, Finance and HR teams. Our client is part of a large, privately owned global group and operates across the UK and Ireland, supporting customers within the technology and electronics sector. This is a varied role involving finance and expense administration, shared inbox management, travel coordination, office administration and general team support. Our client is looking for someone who is organised, proactive and reliable, with strong attention to detail and the ability to manage a varied workload.

Role Responsibilities as an Office Assistant
  • Support colleagues with the preparation and submission of expense claims, ensuring all relevant receipts and information are provided in line with company policy
  • Process and monitor expense claims through the relevant finance system, following up on any outstanding information or approvals
  • Provide first-line support for routine expense and travel queries, escalating more complex or policy-related matters where appropriate
  • Assist with regular finance reporting, data preparation and general administrative tasks
  • Manage designated Finance and HR shared inboxes, responding to routine enquiries and directing queries to the relevant team members
  • Maintain accurate and up-to-date records, documentation and correspondence, ensuring confidential information is handled appropriately
  • Coordinate routine travel arrangements in line with company policies and agreed budgets
  • Monitor office supplies and stock levels, placing approved orders and liaising with suppliers as required
  • Support the smooth day-to-day running of the office, coordinating general facilities and administrative requirements
  • Maintain and communicate office rotas, schedules and regular delivery arrangements
  • Provide wider administrative support to the Finance and HR teams, including filing, document preparation and maintaining records
Essentials as an Office Assistant
  • Previous experience in an administration, finance support, HR support or office coordination role
  • Competent Microsoft Office user, particularly Outlook, Word and Excel
  • Strong organisational skills with excellent attention to detail and a methodical approach
  • Professional, approachable and confident communication style
  • Able to learn and use finance, expense and travel systems accurately
  • Proactive and service-focused, with the ability to manage multiple tasks and deadlines
  • Reliable, adaptable and able to work collaboratively across Finance, HR and the wider business
